Deputy Hotel Director

As we continue to grow, we are now strengthening our Hotel Operations team with a Deputy Hotel Director based ideally in Southampton or any major UK or European location.
Role Overview
The Deputy Hotel Director plays a critical role in overseeing the daily hotel operations on board. Reporting directly to the Hotel Director, this position ensures the highest level of guest satisfaction by managing and coordinating all aspects of the ship's hotel services, with specific focus on Food & Beverage, & Inventory Departments.
Main Tasks and Activities
Operational Management
- Ensure that all relevant policies and guidelines are followed as per the company procedures and SQM at all times.
- Conduct regular rounds in all areas during service and off-peak hours.
- Ensure effective communication with all departments and keep the Hotel Director updated on a daily basis.
- Assist the Hotel Director in overseeing all hotel operations, ensuring smooth, efficient, and profitable service delivery.
- Monitor the performance of department heads to ensure all operations meet the highest standards.
- Implement and uphold company policies, procedures, and service standards across all departments.
- Oversee and approve on-board manning within the departments, checking that the correct number of staff are in the right place at the right time and work closely with the Crewing Department shoreside with forward planning for Department requirements.
- Conduct necessary appraisals within the departments in liaison with Hotel Director.
- Disciplinary rules and regulations—ensure proper follow-up in accordance with company guidelines.
- Ensure maintenance issues are reported promptly and with necessary follow-up.
- Deputy Hotel Director needs to be familiar with all company SQM & CBA.
- Must be familiar with the ship’s “Emergency Plan”, the “On-board Outbreak” procedure plan, the “Muster List”, the ship’s “Code of Conduct”.
- Prepare and present reports on hotel operations, guest feedback, and financial performance to the Hotel Director.
- Act as the Hotel Director in their absence, making critical decisions and representing the hotel department in ship-wide meetings.

Financial Administration
- Monitor and control operating costs, within F&B Department. Ensure costs are within the given annual budget parameters, using database tools provided by the company.
- Support the Hotel Director in managing the hotel budget, tracking expenses, and ensuring that all financial goals are met.
- Analyse financial reports to identify trends and opportunities for cost savings without compromising service quality.
- Assist in developing and implementing strategies to maximise revenue, including upselling opportunities and promotional activities.
- Alongside Department Heads, develop, implement, and promote new revenue initiatives and analyse relevant success factors.
- Inventories and stock control—ensure all inventories-in-use counts are carried out as per company-required rotation and as per latest SQM update and orders are placed according to par stock requirements through MXP alongside the Inventory Controller—communicate with the Hotel Director for approval of orders. Conduct regular spot checks across their areas of responsibility to ensure accuracy and report any irregularities to the Hotel Director.
Quality Control
- Monitor and ensure training, development, delegation, and evaluation of the F&B teams. Ensure all managers and crew receive training accordingly, ensure tasks are delegated to managers, and check on completion and evaluate performance of the F&B brigade. Ensure all crew is following company guidelines for English language only and discussing company internal issues with guests.
- Working closely alongside the Executive Chef to ensure the quality, presentation, and delivery of an exceptional dining experience.
- Grooming and uniform policy—ensure everyone in the various departments is properly groomed and dressed according to company policy at all times. Ensure supervisors of the outlets are carrying out daily check-in of the staff as per policy.
- To review overall Guest Ratings when received, to share those with his departments and to set corrective action where necessary.
- To be proactive, ensuring that operational inefficiencies are caught before occurring.
- To regularly review department SOP’s to ensure that these are being followed and suggest improvements where identified.
- Public Health—ensure the company ‘Hygiene and Sanitation Manual’ and USPH standards are met at all times—ensure cleaning schedules are followed up and double-checked by supervisors. Attend all relevant inspections.

Guest Interaction and Liaison
- To be visible in all guest areas and available to guests and crew.
- Ensure an exceptional guest experience by proactively addressing guest concerns, resolving issues, and enhancing service offerings.
- Collaborate with department heads to design and implement new programs or services aimed at exceeding guest expectations.
- Oversee the planning and execution of special events, ensuring they align with company standards.
- Feedback from guests—receive and evaluate feedback—directly from the guests and through department managers—liaise with Hotel Director to ensure that all necessary follow-up is conducted.
- Attend all relevant shipboard and ship/shore meetings.
Other
- The post-holder will be required to undertake such duties as may reasonably be expected.
- All members of crew are expected to be professional, cooperative, and flexible within the needs of the post, department, and our Company.
- Duties of the post could vary from time to time as a result of new legislation, changes in technology, or policy. In this event, appropriate training will be provided.
- Agree to undertake training appropriate to the role, as required.
This is a PERMANENT, FULL-TIME, Shore and Ship-based role.
