Deputy Protocol Manager (Tour de France / Tour de France Femmes Grand Depart GB 2027)

Up to £40,000 per annum (depending on experience)

Location
London - Hybrid (home working and requirement to work and attend meetings around the UK as required. Some national and international travel will be required)
About Grand Depart GB 2027
In 2027 the UK will host the Grand Depart of both the Tour De France and the Tour De France Femme, Avec Zwift. This will be the first time in history that both races have departed from the same country, outside of France. A landmark social impact programme will also be delivered across the UK, tackling inactivity, improving mental wellbeing, boosting economic growth and supporting communities to thrive.
A Special Purpose Vehicle (SPV) - Grand Depart GB 2027 - will maintain oversight of the delivery of the events and will manage public funding on behalf of DCMS, Scottish Government, Welsh Government and UK Sport.
The SPV is a Joint Venture between UKEL (a new sports events company) and British Cycling.
We are seeking a highly organised Deputy Protocol Manager to support all protocol, hospitality, and special event operations. This role is central to ensuring that VIPs, government partners, sporting bodies and international stakeholders receive a world-class experience aligned with event objectives and standards.
The Deputy Protocol Manager will be required to support the Protocol Manager with protocol-related activities and administration. This position requires exceptional organisational and communication skills, with the ability to multi-task efficiently in a fast-paced setting. An interest in sport, particularly cycling, is desirable.
What will you be doing?
Protocol & Hospitality Coordination
- Maintain the overall Protocol & Special Events Master Calendar, ensuring all activities are updated and fully aligned across teams.
- Support the Protocol Manager with protocol planning across internal departments and external partners to ensure smooth delivery of all protocol-related operations.
- Maintain and update stakeholder and guest databases, ensuring contact information, preferences, protocol notes, and attendance history are accurate and GDPR compliant.
- Support the development and maintenance of guestlists across all protocol and special events, ensuring accurate tracking of invitations, responses, dietary and accessibility requirements.
- Research and propose creative ideas, themes and hospitality concepts to help ensure events remain engaging, inclusive, and varied throughout the year.
- Work with the Protocol Manager to support on-site event delivery, helping to coordinate guest arrivals, registration, hospitality, protocol volunteers, and event operations with meticulous attention to detail.

Collaboration & Documentation
- Maintain calendars, trackers, and databases used to monitor protocol activity, stakeholder engagement, invitations, RSVPs, and event delivery progress.
- Produce and maintain accurate event documentation, including guest lists, seating plans, briefing packs, contact sheets, and operational checklists.
- Ensure all protocol records, files, and documentation are accurately maintained and stored in line with organisational processes.
- Ensure collaboration across all areas of the Grand Depart GB team and delivery partners, through regular communication and minute taking for the monthly Protocol meeting.
Communications & Reporting
- Manage the Guest Services inbox, responding promptly and professionally to enquiries and escalating matters to the Protocol Manager where appropriate.
- Coordinate guest communications, including invitations, RSVP follow-up, event joining instructions, and post-event correspondence.
- Produce clear, concise briefings, run sheets, and protocol guidance for internal and external stakeholders.
- Ensure timely and accurate reporting on progress, risks, and upcoming milestones.

What we’re looking for
Essential
- Experience supporting the delivery of major international events, hospitality programmes, stakeholder engagement activities, and customer-facing operations.
- Strong organisational skills with the ability to manage multiple tasks and deadlines simultaneously.
- Excellent attention to detail and a commitment to maintaining accurate records and documentation.
- Confident communicator with strong written and verbal communication skills.
- Experience using databases, spreadsheets, CRM systems, or similar tools to manage information and track activity.
- A proactive and solutions-focused approach, with the confidence to seek guidance when required.
- Flexibility to travel internationally and work irregular hours aligned to events.
Desirable
- Experience working with UK public sector bodies and/or national sporting organisations.
- An interest in sport, particularly cycling, and familiarity with the sporting ecosystem.
- Fluency in French and/or other languages beyond English.
