We're looking for an experienced legal support professional to join our Medical Negligence Team PA function as a Deputy Team Lead. This is a newly formalised leadership role created to support the ongoing growth and development of our national Team PA structure. Working alongside the Team PA Lead, you'll play a key role in supporting a geographically dispersed team, driving operational excellence and helping to shape the future of the function. The role offers a fantastic opportunity for someone who enjoys combining hands-on legal support expertise with leadership, coaching and operational responsibility.

You'll act as a deputy to the Team PA Lead, providing cover when required, supporting day-to-day team operations and helping to ensure consistency, quality and efficiency across the service. You'll also play an important part in delivering improvements to processes, supporting onboarding and training activities, monitoring quality standards and helping the team adapt to evolving ways of working.

Responsibilities

As Deputy Team Lead, you'll act as a trusted support to the Team PA Lead and help provide leadership across our national Team PA function. Your responsibilities will include:

Leadership and Operational Support

  • Supporting the day-to-day management and operational health of the Team PA function.
  • Acting as deputy for the Team PA Lead during periods of absence and annual leave.
  • Providing guidance and support to Team PAs on operational and service queries.
  • Supporting people management activity, coaching conversations and team development initiatives.
  • Assisting with recruitment, onboarding and training of new colleagues.
  • Helping to drive engagement, collaboration and a positive team culture.
  • Monitoring performance, quality standards and service delivery metrics.
  • Identifying opportunities for continuous improvement and supporting the implementation of change initiatives.

Process Improvement and Quality Assurance

  • Acting as a subject matter expert for Medical Negligence Team PA processes.
  • Supporting the introduction and embedding of new ways of working.
  • Undertaking quality assurance checks and providing coaching where appropriate.
  • Supporting operational projects designed to improve efficiency, consistency and client service.
  • Escalating risks, issues and service concerns appropriately.

Legal and Administrative Support

  • Providing complex administrative and litigation support to legal teams.
  • Managing legal documentation and correspondence through firm systems.
  • Preparing bundles for experts, counsel and court proceedings.
  • Coordinating client and expert appointments.
  • Supporting court filing, hearings administration and litigation processes.
  • Assisting with billing, costs administration and financial correspondence.
  • Producing reports, management information and operational data.
  • Supporting wider business development and professional support activities.

Skills and Experience

  • Experience working within a legal support, litigation support or legal administration environment.
  • Experience coordinating, coaching, mentoring or providing day-to-day guidance to colleagues within a team.
  • Evidence of managing competing priorities and delivering high-quality work within a fast-moving environment.
  • Strong organisational skills, attention to detail and ability to maintain service standards across multiple activities.
  • Confidence communicating with a range of stakeholders and representing a team in meetings when required.
  • Experience of supporting operational processes and identifying opportunities for improvement.
  • Ability to work independently, make informed decisions and escalate issues appropriately.
  • Strong Microsoft Office skills and confidence using case management and document management systems.
  • A collaborative approach to working with colleagues across multiple locations.
  • The ability to handle confidential information with discretion and professionalism.

Desirable

  • Experience working within Medical Negligence, Personal Injury or a similar legal practice area.
  • Previous experience supporting onboarding, induction or training activities.
  • Experience monitoring quality standards or undertaking quality assurance activities.
  • Experience supporting people management processes such as absence management, performance discussions or recruitment activity.
  • Knowledge of financial administration processes, expense systems or legal billing procedures.
