Deputy Support Team Leader

We're looking for an experienced legal support professional to join our Private Client Group (PCG) support team as a Deputy Support Team Leader, where you’ll work alongside the Support Team Leader to support the day-to-day management of a team of Personal Assistants (PAs) based across our UK offices, driving operational excellence and helping to shape the future of the function.

The role offers an exciting opportunity for someone with legal support expertise who is looking to develop into leadership, coaching and operational responsibility. You'll act as a deputy to the Support Team Leader, supporting day-to-day team operations and helping to ensure consistency, quality and efficiency across the service.

You'll also play an important part in delivering improvements to processes, supporting onboarding and training activities, monitoring quality standards and helping the team adapt to evolving ways of working.

Responsibilities

  • Supporting the day-to-day management of the Team PA function including monthly 121s, supporting wellbeing, engagement, attendance, development and performance.
  • Providing guidance and support to Team PAs on service delivery, operational processes and day-to-day queries.
  • Supporting people management activities, coaching conversations and team development initiatives.
  • Assisting with recruitment, onboarding and training of new colleagues.
  • Helping to drive engagement, collaboration and a positive, inclusive team culture.
  • Monitoring performance, quality standards and service delivery measures.
  • Identifying opportunities for continuous improvement and supporting the implementation of change initiatives.

Process Improvement and Quality Assurance

  • Acting as a subject matter expert for Team PA processes within the Private Client Group.
  • Supporting the introduction, communication and embedding of new ways of working.
  • Undertaking quality assurance reviews and providing coaching and feedback where appropriate.
  • Supporting operational projects designed to improve efficiency, consistency and client service.
  • Escalating risks, issues and service concerns appropriately.

Legal and Administrative Support

  • Providing complex administrative and legal support to senior stakeholders across the Private Client Group.
  • Assisting with billing, financial administration and client correspondence.
  • Producing reports, management information and operational data.
  • Supporting wider business development, client service and professional support activities.

Requirements

  • Experience working within a legal support, legal administration or professional services support environment.
  • Experience coordinating, coaching, mentoring, or providing day-to-day guidance to colleagues within a team.
  • The ability to manage competing priorities and deliver high-quality work in a client-focused environment.
  • Experience building effective working relationships with colleagues and stakeholders across multiple teams or locations.
  • Experience of supporting operational processes and identifying opportunities for service or process improvement.
  • Strong organisational skills, attention to detail and the ability to maintain quality standards across a varied workload.
  • The ability to work independently, make informed decisions and escalate issues appropriately.
  • Effective written and verbal communication skills.
  • Confidence using Microsoft Office and business systems, including document management and workflow tools.
  • The ability to handle confidential information with discretion and professionalism.

Desirable Criteria

  • Experience working within Private Client Services or another client-focused legal practice area.
  • Experience supporting people management activities, such as absence management, performance discussions or recruitment processes.
  • Experience supporting operational change, transformation or continuous improvement initiatives.
  • Knowledge of billing processes, financial administration or legal finance systems.
  • Experience working within a multi-site or hybrid team environment.
