What the Role Does

The Design & Production Coordinator is responsible for coordinating the operational delivery of the product development process whilst providing creative and administrative support to the Product team. The role sits at the heart of Product, ensuring that suppliers receive accurate information, samples are organised, product information is maintained, development milestones are achieved and creative assets are managed efficiently. The role combines design coordination, product development administration, supplier communication and project coordination to ensure collections are delivered on time, to the required quality and in line with the Critical Path.

Success in this role means the Product team operates efficiently because information is always accurate, organised and available when needed.

You will know you are succeeding when:

  • Product development remains on Critical Path.
  • Samples arrive on time and are organised for every review.
  • Suppliers receive clear, accurate information first time.
  • Product specifications and technical documentation are maintained to a high standard.
  • Print, fabric and development trackers are accurate and up to date.
  • Design presentations are professionally prepared.
  • Creative assets are organised and easily accessible.
  • Internal teams always have confidence in the accuracy of product information.
  • The Creative Director and Senior Production Manager are able to spend more time making decisions and less time managing administration.

Key Accountabilities & Responsibilities

Design & Creative Coordination

  • Support the Creative Director with seasonal research, inspiration and mood boards.
  • Prepare seasonal presentations and collection boards.
  • Coordinate colour palettes and presentation materials.
  • Create and maintain print packs.
  • Update CADs and technical drawings.
  • Prepare artwork and embroidery files.
  • Organise creative assets and seasonal libraries.
  • Maintain print and fabric archives.
  • Issue creative information accurately to suppliers.

Product Development

  • Create and update specifications and tech packs.
  • Maintain product development workbooks.
  • Coordinate supplier communication throughout development.
  • Update development trackers.
  • Maintain product files and technical documentation.
  • Coordinate colour-ups and CAD amendments.
  • Support product development meetings.
  • Track development milestones and escalate risks where required.

Fabric & Print Development

  • Coordinate mill appointments.
  • Raise fabric requests.
  • Track fabric submissions.
  • Collect pricing information.
  • Coordinate strike-offs and print approvals.
  • Maintain fabric and print libraries.
  • Issue print files to mills and suppliers.
  • Track approvals through to completion.

Sampling

  • Raise sample requests.
  • Track sample progress.
  • Chase suppliers to ensure samples arrive on time.
  • Log incoming samples.
  • Organise sample storage.
  • Prepare samples for design, merchandising and fit reviews.
  • Maintain sample archives.

Fit & Technical Support

  • Coordinate fit sessions.
  • Prepare samples for fittings.
  • Record and distribute fit comments.
  • Update fit trackers.
  • Track sample amendments.
  • Coordinate communication between suppliers and the Garment Technologist.

Product Administration & Systems

  • Maintain Bills of Materials (BOMs).
  • Update product specifications.
  • Maintain product files and development trackers.
  • Support PLM administration.
  • Ensure documentation is complete and organised.
  • Maintain product records and seasonal archives.

Supplier Coordination

  • Act as the day-to-day operational contact for suppliers during development.
  • Issue development packs.
  • Send artwork, specifications and amendments.
  • Follow up outstanding actions.
  • Coordinate approvals.
  • Maintain organised supplier documentation.
  • Ensure suppliers have accurate information at every stage.

Skills & Experience

Essential

  • Experience in a Design Assistant, Product Development or Production Coordinator role.
  • Exceptional organisational skills and attention to detail.
  • Strong project coordination skills.
  • Excellent written and verbal communication.
  • Confident managing multiple priorities.
  • Proficient in Microsoft Office, particularly Excel.
  • Interest in premium fashion and product development.

Desirable

  • Experience using a PLM system.
  • Adobe Illustrator and Photoshop.
  • Understanding of garment construction.
  • Knowledge of fabrics and trims.
  • Experience working with overseas suppliers.
  • Experience within premium or luxury fashion.
