Despatch Clerk- Seal Sands- Permanent

About the role

We are looking for a Despatch Clerk to join our Operations team at Seal Sands. Reporting to the Shift Supervisor, you will play a key role in ensuring the safe, efficient, and compliant movement of products through the terminal. You will be responsible for carrying out terminal weighbridge operations, preparing and processing weighbridge documentation, controlling the release and acceptance of products, and maintaining accurate stock and operational records.

Working closely with drivers, customers, customer service teams and terminal personnel, you will ensure all required documentation is completed correctly and that products are only released or accepted in accordance with client instructions and terminal procedures. You will also help maintain high standards of quality, safety, and environmental compliance while contributing to the smooth day-to-day operation of the terminal. The role requires flexibility to work as part of an assigned shift pattern.

Key Responsibilities

  • When necessary, to ensure that weighbridge documentation/weighbridge tickets are prepared as directed by the Terminal’s clients
  • To ensure that the release of product from the Terminal is controlled via the clients’ order release system
  • To ensure that no release of product is made unless the appropriate documentation is available
  • To ensure that the acceptance of product into storage is controlled, i.e. no product should be accepted unless notification has been received from the client
  • To ensure that appropriate entries are made into the computer to ensure that efficient stock control is maintained
  • To ensure that drivers complete all necessary documentation on arrival at the Terminal.
  • To ensure that driver’s documentation is in order prior to the vehicle being allowed to leave the Terminal
  • To liaise with Customer Services and/or clients’ direct, if necessary, to ensure that specific requirements are met
  • To ensure that any work undertaken is carried out to the standards required by the Terminal’s management and to ensure that the work station is adequately maintained
  • To ensure that all operating procedures are adhered to
  • To ensure the effectiveness of the Quality Assurance System, related procedures and systems
  • To ensure the requirements of the Terminal’s Safety Regulations, Environmental and Emergency Procedures are adhered to.
  • Required to undertake shift work in line with assigned terminal shift team pattern

About You

We are looking for someone with a good standard of education, including GCSEs or equivalent qualifications, and at least one year's experience in a relevant administrative or operational environment. You should be confident using computer systems and possess strong literacy, numeracy, and communication skills.

The successful candidate will be organised, self-motivated, and highly accurate in their work, with strong problem-solving abilities and the confidence to communicate effectively with customers, drivers, colleagues, and stakeholders. Experience in weighbridge administration, logistics, fuel storage, chemical operations, or a similar industry would be advantageous but is not essential. Above all, you will be a team player who is committed to delivering excellent service while maintaining high standards of safety and compliance.
