About The Role
Join BT Defence’s Contract Management Office (CMO) as a DFTS Document Manager, a high-profile role with ownership of document governance, document control and records management across one of BT’s most significant Defence contracts. You will act as the subject matter expert for document management, ensuring contractual documentation is controlled, compliant, secure, and audit-ready throughout its lifecycle.
This is far more than a traditional document control position. You'll work closely with internal teams, external customers and senior stakeholders, taking responsibility for document governance strategy, continuous improvement initiatives, compliance activities and customer-facing reporting. Your work will have a direct and visible impact on customer outcomes, contractual performance, and the successful delivery of critical Defence services.
With significant autonomy, exposure to senior stakeholders, and opportunities to influence governance approaches across future framework agreements, this role offers an excellent platform for an experienced document management professional looking to broaden their impact within a complex and regulated environment.
What You’ll Be Doing
- Lead document governance, document control and records management activities across the DFTS contract, ensuring compliance, security and audit readiness.
- Manage the controlled document repository, maintaining accurate lifecycle management, change control and publication processes.
- Assure the quality, completeness and compliance of contractual documentation prior to customer submission.
- Provide expert guidance to stakeholders on document management standards, governance requirements and best practice.
- Investigate and resolve complex Microsoft Word document issues, including fault-finding and document integrity challenges.
- Drive continuous improvement and automation initiatives that enhance efficiency, reduce risk and improve governance outcomes.
- Represent the function in customer and governance forums, providing reporting, analysis and insights to support contractual delivery and stakeholder decision-making.

Essential Skills / Experience
- Proven experience in document management, document control or records management within a controlled or regulated environment.
- Advanced Microsoft Word expertise, including troubleshooting, fault-finding and managing complex controlled documentation.
- Solid understanding of document governance, compliance, assurance and audit requirements.
Desirable Skills / Experience
- Experience supporting large, complex contracts, programmes or service delivery environments.
- Experience within the Defence sector or another highly regulated industry.
- Experience leading continuous improvement initiatives that deliver measurable operational or governance benefits.
- Knowledge of records management, assurance, compliance or audit frameworks.
- Experience presenting information and recommendations to customers, governance forums or senior stakeholders.
- Exposure to automation, process optimisation or data analysis activities that improve efficiency and reporting.
