Overview

Join the Digital team at Black Sun to project manage the development and delivery of high calibre digital solutions for our Stakeholder Engagement business, including:

  • Website builds
  • Website projects and changes
  • Uploading content to the website via the CMS
  • SEO, GEO and AI tracking and reporting
  • Digital Communications work

You will make sure projects are clearly defined, well managed and delivered on time, to scope and budget.

The role will require you to develop an intimate understanding of your client as well as a deep understanding of best practice and market trends. In time, we will also provide you with the opportunities and platform to develop your career within this growing and highly ambitious organisation.

Working closely with the design, development and account teams, you will be part of defining the solution to meet our clients’ requirements. Supporting the Account Manager by managing the project delivery schedule based on budgetary estimates and agreed scopes. You will be driving the programme of work from inception through to successful delivery; ensuring projects are delivered on time, to budget and to high levels of client satisfaction.

The role is well suited for a highly motivated and ambitious individual with a curious and innovative mind, and a desire to learn about best practice digital corporate communications. The successful candidate must be comfortable communicating with clients and internal teams, exceptional communication and interpersonal skills and taking ownership of one’s work.

Key Responsibilities

Project Management

  • Manage the day-to-day delivery of your projects, preparing and driving schedules and ensuring all internal and external deadlines are met.
  • Take part in the discovery and definition stages of projects, working with the senior team and internal teams to interpret the client's brief and define scope, budget and schedule.
  • Produce and maintain core project documentation, including project briefs, schedules, requirements documents, contact reports (key actions and deliverables) and status reports, and contribute to sitemaps and wireframes.
  • Oversee the turnaround of design and content amends, ensuring all changes are incorporated and recorded for error-free delivery.
  • Review and check work before it is sent to the Account Manager.
  • Apply Black Sun's project management and quality assurance processes, procedures and templates consistently at every stage of a project.
  • Manage day-to-day client requests for support, maintenance and general queries, ensuring they are delivered on time.
  • Brief and coordinate suppliers, ensuring their work meets Black Sun's quality standards.
  • Book resources in advance for your projects and keep the team clear on deliverables for the next two weeks.
  • Organise meetings, update status documents, and keep project documents and materials orderly and accessible.

Commercial Responsibility

  • Feed into and sometimes produce budget proposals.
  • Manage project budgets by following Black Sun's financial processes, including regular reconciliations, raising Purchase Orders for external costs and supporting the invoicing process.
  • Ensure no work outside the agreed scope is undertaken until the additional scope and cost estimate have been agreed with the client.
  • Submit accurate timesheets daily.

Research and Development

  • Keep building your understanding of your clients' businesses, their industries, and trends and best practice in digital corporate communications.
  • Contribute research and insights that support Black Sun's thought leadership, and share what you learn with your team.

Qualifications, Experience and Skills

  • 3+ years agency experience within digital marketing and communications, digital build projects from inception to delivery with the ability to work unaided.
  • Experience project managing websites, ideally Corporate and Business to Business sites.
  • Familiarity with best practices in website development, including accessibility, usability and design.
  • Experience interacting with clients at a variety of levels and across functions.
  • Experience working with an Account Manager or Client Service team member; supporting them in managing client expectations and ensuring high levels of client satisfaction.
  • Experience of scoping digital projects of significant scale and complexity and identifying project risks.
  • Experience creating and maintaining project plans; updating the team and client; flagging deadlines or delivery dependencies.
  • Good knowledge of project management techniques for digital solutions including requirements definition, sitemaps, schematics and wireframes, web analytics, etc.
  • Excellent communication skills are essential.
  • Must be able to work effectively under pressure, within strict time constraints and must be able to manage multiple projects in a fast-paced, time sensitive environment.

Technical Knowledge and Skills

  • Microsoft Project, Project tracking software.
  • Content management system use.
  • Ticket creation and tracking for tasks and website issues/bugs (i.e. JIRA).
  • QA techniques and processes.
  • Knowledge of W3C WCAG levels and requirements.

Personal Qualities

  • Communicate well, take accountability and strong sense of ownership.
  • Passionate about digital.
  • Strong interpersonal and communications skills necessary to build trust and respect both externally and internally.
  • Attention to detail and a desire to produce the highest quality solutions.
  • Technically literate, and also able to communicate complex digital solutions into non-technical language.
  • High-quality service ethic and committed to customer service excellence.
  • Ambition to self-improve.
  • Ability to manage many urgent and often conflicting priorities.
  • Strong ‘can do’ attitude with an innate ability to take initiative and work by yourself as well as in a team.

Reporting Relationship for this Role

  • Reporting to the Digital Account Manager.
  • Regular check-ins with the Digital Account Director.
  • Working closely with the wider project and account management team as well as the creative and application development teams.
