Responsibilities:

  • Act as the first point of contact for all visitors, providing a professional meet-and-greet service and promptly notifying Burness Paull colleagues of their arrival through Microsoft Teams, Outlook, or other agreed communication channels.
  • Manage all reception communications through the shared Outlook mailbox, ensuring enquiries are monitored, prioritised, actioned, and escalated appropriately whilst maintaining high service standards.
  • Become a systems expert in Kura Engage, managing room reservations, catering requests, visitor requirements, room layouts, technology requirements, and meeting room schedules.
  • Utilise collaborative technology such as Microsoft Teams to liaise with internal stakeholders, Facilities, IT, Catering, and external suppliers, ensuring seamless coordination of meetings, events, and workplace services.
  • Utilise Emburse to process stock purchases, purchase orders, invoice administration, expense management, supplier transactions, and stock replenishment activities.
  • Organise business travel and accommodation using the Reid & McKay travel management system, ensuring compliance with travel policies and supporting itinerary amendments, cancellations, and delay repay claims.
  • Support meetings, events, and corporate functions by coordinating supplier activities, room setup, catering, hospitality services, attendee arrivals, and food and beverage requirements.
  • Monitor workplace facilities, including kitchens, serveries, and breakout areas, ensuring stock levels, cleanliness, health & safety, data protection, and company service standards are maintained at all times.

Working hours:

  • Monday to Thursday 12pm - 6pm
