Job Summary
Do you want to work for the Defence Infrastructure Organisation (DIO) and play a key role in supporting the safe, secure and effective running of a busy Defence office location? The Defence Infrastructure Organisation provides the infrastructure, accommodation, operational facilities and specialist assets that Defence people need to live, work, train and deploy across the UK and overseas.
We are seeking an organised, proactive and customer-focused Building Manager to support the day-to-day operation of Forthview House in Rosyth. This is a varied and visible site-based role, providing local building management support across facilities management, reception services, security, fire safety, health and safety, first aid arrangements, building records and stakeholder engagement.
You will work closely with the Head of Establishment for Forthview House, industry partners, contractors, reception, security stakeholders, building residents, lodgers and visitors to ensure local building arrangements are well managed and issues are resolved or escalated appropriately. The role offers a unique mix of facilities management, security, health and safety, stakeholder engagement and people management responsibilities. No two days are the same.
We welcome applications from individuals with experience in administration, customer service, reception management, facilities management, estate support, security, health and safety or other operational support roles. Previous building management experience is not essential, provided you can demonstrate the skills and behaviours required for the role.
This position is advertised at 37 hours per week.
The Ministry of Defence supports flexible working where business needs allow; however, due to the site-based nature of the role, regular attendance at Forthview House will be required.

Job Description
The Building Manager is responsible for supporting the safe, secure and efficient day-to-day operation of Forthview House. Acting as a key local point of contact for building users, visitors, contractors and stakeholders, you will help coordinate building services, manage faults and ensure local arrangements are maintained to agreed standards.
You will oversee reception services and line manage the Receptionist post, ensuring a professional, secure and customer-focused service. This includes supporting visitor and contractor access, mail and parcel services, building enquiries and reception cover arrangements.
Working closely with facilities management colleagues, industry partners and contractors, you will coordinate building and grounds activities, report faults, support contractor access, attend site meetings and ensure building consumables and services are effectively managed.
The role supports local security and access control arrangements, including key and fob management, contractor and delivery access, and the investigation and escalation of security issues where required.
You will contribute to health, safety and fire safety compliance by acting as Lead Fire Warden, supporting evacuation arrangements, completing assurance checks and liaising with the Health and Safety Manager.
Supporting the Head of Establishment, you will maintain building records, floorplans and occupancy information, provide site updates, coordinate local governance and business continuity activity, host quarterly SCIDA meetings and maintain the Forthview House SharePoint page.

The successful candidate will be organised, proactive and confident working in a busy site-based environment. You will be able to manage competing priorities, follow agreed processes and escalate issues appropriately.

Essential Criteria
- Strong organisational skills and the ability to manage competing priorities in a busy site-based environment.
- Experience of providing effective customer service or operational support to a range of users and stakeholders.
- Good communication skills, with the confidence to engage professionally with staff, visitors, contractors, service providers and stakeholders at different levels.
- Experience of maintaining accurate records and using digital systems to manage information and support operational processes.
- Confidence using Microsoft 365 applications, including Outlook, Word, Excel, Teams and SharePoint.
- Understanding of how to apply policies, procedures and guidance, identifying and escalating safety, security, compliance or service issues through the appropriate routes.
- A calm, professional and resilient approach when responding to emerging issues, changing priorities and operational pressures.
- Experience of line management, supervision or coordinating the work of others.
Desirable Criteria
- Experience of facilities management, building services, reception services or office management.
- Experience of supporting health and safety, fire safety or security processes.

Where business needs allow, some roles may be suitable for a combination of office and working from home as part of a non-contractual hybrid working arrangement. All office-based employees will be expected to spend a minimum of 60% of their working time in office, subject to site capacity and any required workplace adjustments. Requirements to attend other locations for official business, or work in another MOD workplace, will also count towards this level of office attendance. The post does not offer relocation expenses.
