Key Responsibilities

Provide Comprehensive, Efficient & Effective Business Service

  • Work with the Business Support Manager and team to deliver high quality and efficient services. This includes all administration, reception, finance and organisational support
  • Lead business support team to achieve financial efficiency and annual audit; working with Treasurer and Auditors as required
  • Work with Chief Operating Officer and all Managers to ensure all services meet contractual obligations and grant funding conditions
  • Lead on HR issues liaising with HR contractor and completing works required on behalf of BACKUP including issuing contracts, recruitment etc

Provide Staff Management

  • Provide overall management, support and direction for the staff teams; line managing and supervising 2 Managers
  • Offer good quality supervision and appraisals to Managers and support their continuous professional development
  • Lead on the organisation’s training strategy and training calendar including the identification and commissioning of training required
  • Leading role in recruitment, selection, induction, development and training of staff
  • Provide effective leadership enabling individuals to make informed decisions
  • Take appropriate and prompt steps to address problems in performance management
  • Escalate procedures as required with capability procedure and/or informal performance management systems
  • Liaise with business support team as required to develop new, maintain and manage systems
  • Report any issues to CEO

Provide Financial Support

  • Report to the CEO and Trustee Board on arrears, voids, housing benefit income and rental income and other KPIs
  • To operate within the financial controls procedure
  • Monitor operational budgets, management accounts and reserve policy and ensure compliance with purchase order systems
  • Work with CEO, COO and Director of Income and Partnership to ensure financial accuracy of bid writing, income procurement and submissions of tenders as required
  • Oversee all financial activity in business support services
  • Update SASSHA (CRM system) and XERO systems as necessary
  • Work with auditors to complete annual audited accounts

Provide Premises Management

  • Lead on buildings and facilities management with CEO and COO.
  • Responsible for monitoring H&S systems at Head Offices.
  • Lead on contracts for new and existing premises.
  • Lead on managing insurances for organisation; services, buildings and contents via broker.

Compliance

  • Write new, and review existing policies and procedures in the organisation as required.
  • Take responsibility for the Health, Safety & Welfare as detailed above. Escalate issues to the CEO as appropriate.
  • Lead on complaints or reportable incidents recorded.
  • Comply with equal opportunities and diversity policies and regulation
  • Co-operate with any legal steps the organisation may take to fulfil its obligations under the Health and Safety at Work Act (HASAW).
  • Report any concerns relating to safeguarding vulnerable adults and children, instigate MARAC and other safeguarding procedures as required.
  • Uphold safe and efficient working policies and practices, undertake supervision and training
  • Produce correspondence to support reports for the Trustee Board and CEO
  • Lead on GDPR ensuring organisation fulfils legal obligations
  • Complete charity Commission and Companies House returns as required.
  • Support CEO and COO to maintain Investors in People and other accreditations.

  • Develop effective and professional working relationships internally and externally promoting a positive image of the service and of BACKUP; ensuring others do the same.
  • Provide training and/or assistance to colleagues as necessary including delivering annual policy workshops
  • Provide cover for the CEO or COO as required
  • Undertake any other duties as may be requested by BACKUP CEO
  • Deputise for the CEO or COO as required.
  • Adhere to all BACKUP systems, policies and procedures
  • Support the Charity values, behaviours and ethos
    • Commitment to the charity ethos and its values. This includes being willing to promote the charitable activities (fundraising and promotional opportunities.)
