Job Summary
IIQAF Group is seeking an organized and detail-oriented Dispatch Clerk to support dispatch, order processing, delivery coordination, and logistics administration within our hospitality operations in London. The successful candidate will coordinate outgoing shipments, prepare dispatch documentation, update delivery records, communicate with warehouse and transport teams, and help ensure that goods and supplies are dispatched accurately and on schedule.
The ideal candidate will have an understanding of dispatch operations, order fulfillment, inventory records, shipping documentation, delivery scheduling, warehouse coordination, and logistics administration. This opportunity is suitable for candidates with experience as a Dispatch Clerk, Dispatch Assistant, Shipping Clerk, Logistics Clerk, Delivery Coordinator, Warehouse Administrator, or Dispatch Administrator.
Key Responsibilities
- Coordinate daily dispatch activities to ensure orders, goods, equipment, and hospitality supplies are prepared and dispatched accurately and on time.
- Receive and process dispatch requests, customer orders, delivery instructions, and internal stock transfer requests.
- Prepare and verify dispatch documents, delivery notes, packing lists, order forms, shipment records, and related paperwork.
- Coordinate with warehouse staff to confirm stock availability, order picking, packing, labeling, and dispatch readiness.
- Schedule deliveries and coordinate with drivers, couriers, transport providers, and logistics teams regarding collection and delivery times.
- Verify order quantities, item descriptions, product codes, delivery addresses, and customer details before dispatch.
- Maintain accurate dispatch logs, shipment records, delivery schedules, and proof-of-delivery documentation.
- Enter and update dispatch information in company databases, spreadsheets, ERP systems, or warehouse management systems.
- Follow dispatch schedules, company policies, documentation standards, and established logistics procedures.
- Maintain confidentiality and accuracy when handling customer, supplier, order, and business information.
- Support continuous improvement in dispatch accuracy, delivery coordination, record keeping, and operational efficiency.

Required Qualifications

- High school diploma or equivalent qualification required; a diploma in logistics, supply chain management, business administration, or a related field is an advantage.
- Previous experience as a Dispatch Clerk, Dispatch Assistant, Shipping Clerk, Logistics Clerk, Dispatch Administrator, Delivery Coordinator, or Warehouse Administrator is preferred.
- Experience in hospitality, hotels, catering, food and beverage distribution, warehousing, retail, transport, or logistics operations is an advantage.
- Understanding of dispatch procedures, order processing, shipment preparation, and delivery coordination.
- Familiarity with dispatch documentation, delivery notes, packing lists, shipment records, and proof-of-delivery procedures.
- Previous experience with UK delivery procedures and logistics documentation is an advantage.
