Level 3 Apprentice Administrator

Our busy GP practice is looking for a motivated Level 3 Apprentice Administrator to join our friendly team, supporting our in-house dispensary and clinical pharmacy team. This is a great opportunity for someone who wants to build a career in administration while gaining valuable experience in a real healthcare setting.

Main Duties

  • Providing day-to-day administrative support to the in-house dispensary and clinical pharmacy team.
  • Supporting the clinical pharmacists with their administrative workload and maintaining organised worklists, using the electronic patient record system.
  • Processing and updating information accurately on practice and pharmacy systems.
  • Assisting with prescription-related administration and routine queries, following established procedures.
  • Supporting the administration of medication reviews, recalls and other pharmacy-led work.
  • Preparing and maintaining spreadsheets, lists, audits and reports as required.
  • Monitoring allocated tasks and helping ensure outstanding administrative work is followed up.
  • Processing correspondence, scanning documents and maintaining accurate electronic records.
  • Assisting with filing, data entry and general office administration.
  • Answering telephone calls and/or emails from patients in relation to dispensary related queries.
  • Supporting stock and dispensary administration where appropriate, without undertaking duties outside the apprentice’s training and competence.
  • Liaising with members of the practice team and external organisations when required.
  • Helping to organise information and administrative processes to support the smooth running of the dispensary and pharmacy service.
  • Identifying routine administrative issues and escalating them appropriately.
  • Assisting with audits, searches and other practice or pharmacy administrative projects.
  • Providing general administrative support across the practice when required.

Apprenticeship Details

Essential qualifications

  • GCSE in:
    • Maths (grade 4-9)
    • English (grade 4-9)

Other requirements

  • National Minimum Wage for age will be the salary.
  • The Apprentice will work within their level of training and competence and will not be expected to make clinical decisions, provide clinical advice or undertake dispensing duties unless appropriately trained, authorised and supervised.
  • A standard DBS check will be required prior to commencing. The role may be reviewed and developed as the apprentice gains experience and progresses through their Level 3 Apprenticeship.
  • As part of their Apprenticeship, the successful candidate will complete off the job training—dedicated learning that takes place during paid working hours and focuses on developing the skills and knowledge needed for the role. This includes structured activities such as workshops, online.
