Job title: Document Controller
Location: Fully Remote
Contract length: 31/12/2026
Shift Pattern: Monday - Friday 09.00am - 17.00pm
Balfour Beatty, an International Infrastructure group, is currently recruiting for a Document Controller for a contract position until the end of the year, with potential to extend. This is a fully Remote position (you must be based in the UK). The main office for this position is based in South Wales, UK.

The Document Controller position will sit within Balfour Beatty’s Rail System Business area.
We are looking for a Document Controller who has ideally worked within a Construction/ Infrastructure/ Manufacturing or Engineering type of environment. You will have strict compliance and Quality experience and have managed document handling end to end. Previous Document management system experience is essential. To manage and control all project document flow to ensure accurate registration, revision, resubmission, and storage of all project documentation, and accurate liaison with site team, design team, subcontractors, customers, external suppliers, and work-winning staff; QA checking documents prior to submission; Archiving of project documentation following project close-out; To provide subject matter expertise and coaching on the use of documentation control systems to relevant teams and subcontractors. To help finalising persuasive proposals in support of winning new business, including information and document compilation and best practice capture. To assist the bid team and Proposals Manager by co-ordinating documents through a structured review process.

Key Responsibilities:
- Managing the requirements for document control on the project to ensure implementation and compliance to standards established within the Business Management System (BMS);
- Management of project documentation resources, oversee the delivery of project deliverables and implement quality assurance to ensure the accuracy and consistency of project documentation.
- Customer/ stakeholders: clients and stakeholders
- Internal: Project Manager, Regional Engineering Manager, CEM, System integration, System Safety, Design Teams, Quality Manager, H&S Manager, and Engineering and Construction team, Work Winning Teams, Enabling Functions, Operations, Commercial
- Identifying contractual requirements in relation to document control.
- Ensuring accurate control of documentation from pre-construction through to completion and archiving.
- Liaising with project teams to ensure they have a full understanding of document control and system procedures and provide training and instruction as required such that documentation control requirements are met.
- Ensuring that procedures are fully implemented to meet requirements of the BMS and other documentation and information systems.
- Managing business archiving such that all documentation is stored efficiently and can always be accessed and referenced.
- Working to continuously improve and enhance procedures and systems utilised for document control.
- Providing feedback such that design and project managers are fully aware of all documentation issues.
- Understanding and carrying out the role-specific requirements of the Business Management System and help to identify opportunities for improvement.
- Implementation and understanding of ISO19650.
- Supporting in compilation of H&S files.
- Living the Balfour Beatty Values.
- Ensuring a relentless focus on Zero Harm.

Key Skills / Experience/ Qualifications
- Understanding of IT systems and EDMS used in document control.
- Good experience of document control.
- Excellent understanding of BIM.
- An ability to understand how the operations of the department relate to others and work collaboratively to obtain the best outcome for the business.
- Good interpersonal and communication skills.
- Determination to see tasks through to completion, with excellent planning, time management, and organization skills.
- Experience of co-ordinating the work of others.
- Previous experience as Document Controller
- An excellent standard of written English, with strong verbal communication skills
- A thorough knowledge of Word and other Microsoft Office software
- Attention to detail and the ability to see tasks through to completion
- A team player with excellent interpersonal and communication skills
- A self-starter who can manage their own time and who proactively seeks and executes activities that will add value.
- Knowledge of the construction industry or experience within a project-based organization.
