What You'll Be Doing
The Document Controller manages the document control systems and processes for the development from initial set-up to project completion, taking great pride in having a system with the highest possible standards.
- Create an effective system within the project EDMS for coordinating and tracking the design information.
- Manage the Golden Thread of information from GW1 land/tech handover, through GW2, change control and GW3 handover process.
- Periodic reviews of the Roles / permissions / folder access / security permissions for Internal / external parties.
- Coordinate technical drawings, distribute to contractors and consultants, tracking document status and chasing consultants to close out design periods.
- Highlight / escalate any outstanding tasks across Documents / forms to Senior technical managers.
- Quality check published documentation on the EDMS checking revisions, references and titles.
- Respond to EDMS queries from internal and external stakeholders.
- Regularly report on document status issues, delays on drawings, technical subs and RFI’s highlighting concerns and potential delays.
- Be the EDMS subject expert, training colleagues and implementing clear protocols & procedures for both internal and external colleagues.
- Manage the EDMS information requests, and track progress to completion.
- Maintain DCN (Design Change Notification), consultant appointments, insurances, CCOP (Change Control Order Procedure) and handover trackers as appropriate.
- Effectively administer and manage the document control system including uploading and downloading drawings, distributing controlled copies of information, scanning and uploading received hard copy documents, maintaining up to date drawing files and registers, collating and issuing of drawings and tender packages.
- Support site teams / internal / external with onboarding / registration queries on EDMS.
- Work with Technical and Commercial teams to collate the sub-contractor tender process.
- Produce reports for Technical team detailing the time being taken to respond to queries and RFIs using EDMS Reporting tools/Excel.
- Have a positive, collaborative and proactive approach to issues and complicated situations.
- Work closely with external consultants so they achieve our standards, and confidently request changes be made if such standards are not met.
- Manage the O&M (Operation & Maintenance (manual)) process providing documents for the client / Estate Management Team and work closely with those involved in the process to coordinate the handover of deliverables.
- Administrate Project Stakeholder folder’s on EDMS for Housing association / clients / legal teams.

The standard default full-time working hours in the office are 8am-5pm with core working hours 9am-4pm.
