Role Purpose
IIES is seeking an organised, proactive and technically minded individual to join our growing engineering and project delivery team as an Engineering Document Controller.
- The successful candidate will be responsible for coordinating, tracking, collecting and maintaining technical and project documentation across our engineering operations.
- Working closely with internal engineers, project managers, suppliers and clients, the role will ensure that project documentation is accurately recorded, readily accessible and obtained within agreed timescales.
- This position would suit someone with an engineering, IT, technical administration or information systems background who enjoys problem-solving, working with digital systems and improving business processes.
Key Responsibilities
Document Management & Control
- Organise, maintain and manage electronic engineering and project documentation.
- Maintain accurate document registers, revision histories and project filing structures.
- Ensure drawings, specifications, certificates and supporting documents are correctly recorded and distributed.
- Monitor document submission, review and approval statuses.
- Maintain clear records of issued documents and archive superseded versions.
Project Documentation & Coordination
- Proactively request, collect and chase outstanding documentation from internal personnel, clients, subcontractors and suppliers.
- Maintain trackers identifying outstanding documentation, responsible parties and required completion dates.
- Communicate with engineers and project managers to resolve documentation queries and identify missing information.
- Support the preparation and compilation of project documentation packages, including Operation & Maintenance (O&M) manuals, technical datasheets, certificates and handover records.
- Highlight overdue documentation or potential project delays to the relevant project manager.

Qualifications, Skills and Experience

- Strong IT literacy, particularly Microsoft Excel, Word, Outlook and other Microsoft 365 applications.
- Confident using Excel formulas, tables, filters and formatting to organise and track information.
- Excellent organisational skills, accuracy and attention to detail.
- Strong problem-solving skills and the ability to identify and resolve information-related issues.
- Good communication skills, including confidence contacting clients, suppliers and internal staff.
- Ability to manage multiple priorities, work independently and proactively follow up on outstanding tasks.
- Willingness to learn technical terminology, engineering documentation and project processes.
Desirable - Not Mandatory
- Qualification or relevant experience in Engineering, IT, Information Systems or a related technical discipline.
- Previous experience in document control, technical administration or project coordination.
- Familiarity with SharePoint, electronic document management systems or document control software.
- Understanding of engineering drawings, technical specifications and O&M documentation.
- Advanced Excel skills, including PivotTables, Power Query or reporting dashboards.
- Experience within engineering, manufacturing, utilities or water treatment.
- Awareness of ISO 9001 quality management requirements.
