Job Summary
Join our Interior Fit Out team as a Document Controller / Office Manager, based at our new London office.
This is an excellent opportunity for an organised, proactive and professional individual to take ownership of the day-to-day running of the office while also providing document control support across our London-based fit-out projects.
The role combines office management, administrative coordination and project information management. You will ensure that the office operates efficiently, provides a welcoming and professional environment for employees and visitors, and that project documentation is accurately maintained, controlled and distributed.
Working closely with Project Managers, Design Teams, Commercial Teams and other internal and external stakeholders, you will use document management platforms such as Viewpoint 4Projects, SharePoint and Autodesk Build to help ensure project information remains accurate, accessible and compliant with company procedures.
Key Responsibilities
Document Control
- Provide document control and administrative support across Interior Fit Out projects.
- Manage and maintain project documentation, including drawings, specifications, RFIs, technical submissions, reports and health and safety records.
- Ensure project information is accurately recorded, appropriately distributed and maintained in line with company procedures and relevant information management standards.
- Use and maintain document management systems such as SharePoint, Viewpoint 4Projects, Autodesk Build and other project-specific platforms.
- Maintain document registers, workflows, folder structures and user permissions.
- Carry out quality checks on drawings, technical documents and project information before distribution.
- Coordinate incoming and outgoing project correspondence, ensuring information is issued to the appropriate stakeholders.
- Support project, design and commercial teams with compliance documentation, tender submissions, O&M manuals and project handover information.
- Liaise with consultants, subcontractors and project stakeholders to maintain effective communication and information flow.
- Assist team members with document control procedures and provide guidance on the correct use of systems where required.
Office Management
- Take responsibility for the smooth and efficient day-to-day running of the London office.
- Act as the main point of contact for general office enquiries, visitors, deliveries and facilities-related matters.
- Maintain a professional, organised and welcoming office environment.
- Manage office supplies, consumables, stationery and other day-to-day requirements.
- Coordinate meeting rooms, office calendars and internal meetings.
- Arrange meetings, prepare agendas, take minutes and maintain accurate records where required.
- Liaise with internal departments, building management, suppliers and service providers.
- Report and follow up on office maintenance, IT, equipment and facilities issues.
- Support the onboarding of new employees by coordinating workspace requirements, office access, equipment and local inductions.
- Maintain relevant office records, contact lists, seating information and administrative documentation.
- Coordinate office events, employee communications and other activities that contribute to a positive and collaborative working environment.
- Provide general administrative support to the wider Interior Fit Out team, including the preparation of reports, correspondence, presentations and other documentation.
- Support senior team members with diary coordination, travel arrangements and meeting administration when required.

Requirements
Essential Criteria
- Previous experience in a Document Controller, Office Manager, Project Administrator or similar role.
- Experience working within construction, fit out, engineering or the wider built environment.
- Experience using document management systems such as Viewpoint 4Projects, SharePoint, Autodesk Build, Aconex, Asite or similar platforms.
- Strong organisational and administrative skills with excellent attention to detail.
- Ability to manage a varied workload and balance office and project priorities.
- Confident working independently and taking ownership of day-to-day responsibilities.
- Excellent written and verbal communication skills.
- Professional and approachable manner when dealing with employees, visitors and external stakeholders.
- Proficient in Microsoft Office applications, including Word, Excel, Outlook, PowerPoint and Teams.
- Ability to handle confidential and commercially sensitive information appropriately.
- Flexible and proactive approach, with a willingness to support the wider team as required.
Desirable Criteria
- Previous experience in a combined document control and office management position.
- Experience within the commercial fit-out or refurbishment sector.
- Knowledge of BS EN ISO 19650 information management standards.
- Experience supporting project handover documentation and O&M manual compilation.
- Understanding of digital construction processes and document control best practice.
- Experience coordinating office facilities, suppliers and employee onboarding.
- Full UK Driving Licence.
