We currently have an exciting opportunity for a Document Services Assistant to join our team in Manchester.

Working within the Document Retrieval Team (DRT), you will play an important role in supporting the business with document management, records retrieval, scanning services, and administrative support. This is a busy and varied position suited to someone organised, customer-focused, and able to manage multiple priorities effectively.

The team is responsible for managing electronic data and document lifecycles in line with regulatory and compliance requirements, including GDPR and ISO standards, while delivering a high-quality service to both internal and external stakeholders.

Key Responsibilities

  • Manage incoming requests via web portals, emails, and telephone calls, ensuring all queries are handled efficiently and professionally.
  • Support document retrieval processes and help resolve outstanding requests promptly.
  • Scan and process documents on demand, maintaining accurate records for completed requests.
  • Facilitate file requests and communications received through the Document Retrieval portal.
  • Upload and maintain digital documents received from third-party suppliers within SharePoint repositories.
  • Maintain accurate processing logs and document management records.
  • Provide administrative support relating to document retrieval and legal documentation.
  • Liaise with colleagues, clients, and stakeholders to support service delivery.
  • Handle telephone enquiries professionally, taking messages and resolving queries where possible.
  • Ensure all records and documentation are managed in line with company policies, GDPR, and compliance standards.

About You

We’re looking for someone with excellent organisational skills, strong attention to detail, and a proactive approach to work.

Skills & Experience

  • Previous experience within document or records management is desirable.
  • Strong administrative and organisational skills.
  • Excellent verbal and written communication skills.
  • Comfortable working in a busy office environment with the ability to manage multiple tasks simultaneously.
  • Experience using Microsoft Office applications, including Word, Excel, and SharePoint.
  • Confident using databases and internal systems, with good attention to detail.
  • Ability to prioritise workloads effectively and respond flexibly to urgent requests.
  • Professional, calm, and customer-focused approach.
  • An understanding of data protection and GDPR regulations would be advantageous.
  • Knowledge or experience relating to legal documentation, including Wills, Deeds, or Probate, would be beneficial.
