Owen Reed is looking to recruit an experienced Document Services Operator to join a prestigious firm in London.


This is an excellent opportunity for a technically proficient, highly efficient, and detail-oriented Document Services Operator. The successful candidate will possess advanced document-production skills, exceptional accuracy, and the ability to interpret and analyze detailed work requests and complex projects.

Candidates must be flexible, proactive, and collaborative, demonstrating clear ownership of their professional development and providing regular updates on the progress of their work.

The standard working hours for this position are Thursday to Monday, 6.00am–2.00pm. Flexibility to work overtime when required is essential.


Position Overview

The Document Services team is seeking an experienced Operator with excellent technical acumen and a highly efficient approach to document production.

The successful candidate must possess strong attention to detail and be a proactive team player with excellent verbal and written communication skills. They must be able to interpret and analyze instructions relating to detailed work requests and projects.

The Document Services Operator must demonstrate flexibility and take ownership of developing their skill set, managing their workload, and communicating clear status updates regarding their work product.


Essential Duties and Responsibilities

This list is not exhaustive and may be supplemented or amended as necessary.

  • Expertly revise, format, compare, and cross-reference documents.
  • Convert documents from various formats into Microsoft Word, Excel, PowerPoint, and Visio while adhering to the firm’s established best practices.
  • Generate, update, and revise tables of contents.
  • Create and run mail merges.
  • Complete defined-terms checks and reformat documents using the firm’s approved standards and tools.
  • Modify, compile, and redact PDF documents.
  • Create forms, electronic closing binders, and bookmarks using Adobe Acrobat.
  • Create, revise, and reformat PowerPoint presentations while maintaining the firm’s branding standards.
  • Create and modify organizational charts, flowcharts, and timelines using Visio and PowerPoint.
  • Use Excel to reformat documents, prepare spreadsheets for printing, and create basic formulas and charts.
  • Provide responsive technical support to clients, including software troubleshooting.

Qualifications

Education and Professional Experience

  • A college degree or business certification is preferred; equivalent professional experience will also be considered.
  • Previous experience working as a word processor within a legal or financial services organization is required.
  • Proven ability to meet demanding deadlines in a high-pressure environment while maintaining a professional manner and delivering exceptional client service.

  • Advanced knowledge of the following software applications is required:
