Role profile
Our Business Support team have an exciting opportunity for a Document Specialist to join them on a 15 month fixed term contract. You'll provide highly professional, effective and proactive firm-wide support as part of the central team, to ensure an enhanced level of service is provided in a timely manner.
This is a fully remote position, with working hours of Monday to Friday 10am to 6pm.
The team
The Document Specialist reports into the Document Specialist Supervisor. The wider Business Support Team are based across all three UK offices (London, Bristol and Reading) and consist of Document Specialists, Legal Secretaries and Administrative Assistants, with the Business Support Manager managing the function. The teams operating hours are 6am to 10pm.
Key Responsibilities
- Provide technical support to the business across all locations (including International teams)
- Assisting IT ServiceDesk with escalated issues which may include corruption investigation
- Assisting the Document Automation team with troubleshooting on Contract Express coded documents
- Amend and format documentation, work on highly complex documents and rectify problems
- Deal with enquiries from clients, colleagues and third parties and provide an effective transfer of information
- Understand and apply house-style effectively to an expert level of proficiency
- Monitor and prioritise workflow via BigHand Hub workflow system
- Share document knowledge with junior members of the team
- Develop working relationships across the firm
- Quality checking of your work and more junior members of the team
- Collaborating and conferring with stakeholders and subsequently researching, proposing and implementing specific document solutions as required
- Ensure you are working with documents and emails in a compliant and efficient manner
- Work to continuously develop effective ways of working within the team; drive efficiencies through the use of technology

What We're Looking For
We are looking for an experienced Document Specialist who has advanced knowledge in key software packages such as Contract Companion, Microsoft Visio, Microsoft Word, Excel, Outlook, PowerPoint, PDF applications to include pdfDocs, Kofax and Adobe Acrobat DC. You'll also have experience of using features such as tracked changes, cross-referencing and extensive troubleshooting.

- Excellent written and verbal communication skills
- Outstanding organisational skills with the ability to be flexible in managing tasks and workload on a daily basis
- Previous experience working with complex documents is essential
- Ability to work as part of a team and on your own
- Essential to have excellent time and performance management
- Ability to work under pressure with little supervision
- Essential to work with confidentiality, discretion and diplomacy
- The willingness to pro-actively identify opportunities
