Documentation Specialist
Location: Swindon
Contract: 12-Month Assignment
Hours: Full Time, 37.5 hours per week
Shift Pattern: Monday to Friday, 08:30 - 16:40
Pay Rate: £14.50 - £16.41 per hour
Start Date: ASAP
Workplace: Onsite
The Opportunity
We are seeking an experienced Documentation Specialist to join a busy Engineering Operations team within a highly regulated manufacturing environment. This is an excellent opportunity for a strong administrator with technical documentation experience to play a key role in ensuring engineering and maintenance documentation remains accurate, compliant, and audit-ready.
You will be responsible for supporting day-to-day operational activities while proactively driving improvements to documentation systems and processes. The role offers a varied workload, working closely with engineers, subject matter experts, suppliers, contractors, and internal stakeholders.
Key Responsibilities
Documentation Management
- Draft, format, edit, review, and update SOPs, work instructions, procedures, forms, and technical documents.
- Collaborate with engineering teams and subject matter experts to review and improve operational procedures.
- Coordinate document review and approval processes.
- Ensure documentation remains compliant with GMP, Good Documentation Practice (GDP), and internal procedures.
- Maintain accurate, controlled, and inspection-ready records.
- Support maintenance documentation activities and equipment certification records.
- Facilitate extensions and replanning requests for scheduled maintenance tasks.

Purchasing & Procurement Support
- Obtain quotations from suppliers and vendors.
- Raise and track purchase requisitions for goods and services.
- Support purchasing processes and maintain accurate records.
Vendor & Contractor Coordination
- Liaise with suppliers, contractors, and service providers.
- Coordinate contractor and vendor site visits.
- Arrange site-specific training requirements.
- Track vendor activities and ensure reports, certificates, and related documentation are received and filed correctly.
CMMS Administration
- Administer maintenance records and tasks within the Computerised Maintenance Management System (CMMS).
- Support equipment certification documentation.
- Create and maintain maintenance procedures using vendor documentation and internal engineering expertise.
- Assist in the review and creation of equipment spare parts documentation.
About You
We're looking for a highly organised professional who can manage multiple priorities while maintaining exceptional attention to detail.
Essential Skills & Experience
- 5-7 years' experience in administration, technical documentation, engineering support, maintenance support, or a similar role.
- Strong technical writing and document control experience.
- Excellent organisational and time management skills.
- High level of accuracy and attention to detail.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office applications including Word, Excel, and PowerPoint.
- Ability to work independently and manage competing priorities.

Desirable Experience
- Experience within pharmaceutical, life sciences, manufacturing, engineering, or another regulated environment.
- Understanding of GMP and Good Documentation Practice (GDP).
- Experience working with document management systems and purchasing systems.
- Previous experience supporting engineering or maintenance teams.
- Experience using CMMS systems.
Qualifications
- High school diploma or equivalent.
- Further qualifications in Business Administration, Engineering Support, Technical Administration, or a related discipline would be advantageous.
