Job Title: E-commerce & Operations Assistant
Reports To: Operations Manager
Department: Operations & E-commerce
Location: On-site, 19-21 Aintree Road, Greenford, London UB6 7LA
Hours: Full-time, Monday to Friday
To keep Dooa's day-to-day trading running smoothly across both sides of the business. The role splits evenly between operations and e-commerce: keeping orders, stock, and dispatch moving accurately through Business Central and the 3PL on one side, and running our online channels (Shopify, Amazon, and eBay), email marketing (Klaviyo), and CRM on the other. It suits someone who likes variety and wants to build across both trade and online.
Primary Purpose
- Daily operational tasks (stock reports, order submission, dispatch reconciliation) completed accurately and on time
- Order and inventory data in Business Central kept clean and reconciled against the 3PL
- Online listings, pricing, and stock kept accurate and up to date across Shopify, Amazon, and eBay
- Klaviyo campaigns and CRM data kept current, with segments and lists in good order
- Sales team and online customers well supported, with queries resolved promptly
Key Measures of Success
- Produce and maintain the daily stock report, consolidating the three reports from the 3PL (Miniclipper) into the master spreadsheet
- Cross-check dispatch reports against virtual pick orders in Business Central and resolve any discrepancies
- Submit orders to the 3PL from the sales team's files, checking accuracy before they go
- Process and progress sales orders through Business Central, keeping order and customer records accurate
- Act as a day-to-day point of contact for the sales team on order, stock, and dispatch queries
- Carry out stock housekeeping in Business Central, including bin codes and case-to-unit conversions
- Book pallets daily with logistics companies and reconcile monthly pallet storage
- Verify invoices and costs, and support inventory analysis and reporting

E-commerce (50%)
- Run the day-to-day Shopify store: product updates, pricing, basic merchandising, and order flow
- Maintain Amazon and eBay listings, stock levels, and orders, keeping account health in good standing
- Manage Klaviyo email marketing: list and segment upkeep, campaign build, and scheduling support
- Keep CRM and customer records accurate, and maintain clean data across all channels
- Reconcile online orders and stock across the various platforms
Experience Requirements
- 1 to 3 years in an e-commerce, order processing, or operations support role, ideally in wholesale, distribution, or retail
- Hands-on experience with e-commerce or marketplace platforms such as Shopify, Amazon, or eBay
- Experience with an ERP or order management system (Business Central an advantage)
- Experience supporting a sales team or working in a busy trading environment

Qualifications
- GCSEs or equivalent, including English and Maths. A relevant business, e-commerce, marketing, or IT qualification is an advantage but not essential.
Knowledge / Skills
- Good working knowledge of e-commerce and marketplace platforms (Shopify, Amazon, eBay)
- Strong Excel skills, including formulas and working across multiple spreadsheets
- Comfortable learning and working within ERP and CRM systems (Business Central)
- Familiarity with email marketing tools such as Klaviyo is helpful
- Accurate data entry with a strong eye for detail
- Clear written and verbal communication
