Location: Remote, with travel to Parliament and other UK based meetings and events when required.

Salary: £32,000 to £37,000 (dependent on experience)

Contract: 12-month fixed term, with potential to extend

Hours: Full time or 3/4 time options available

Start date: As soon as possible, but we are willing to wait for the right candidate

About PKF

The Parliamentary Knowledge Foundation (PKF) gets cross-party groups of parliamentarians face to face with the charities, businesses, frontline services and communities shaping the UK, through visits, briefings, events and immersive learning in the UK and overseas.

We are a scale up non-profit operating in Parliament and, following the success of our first year, we're growing fast. Year two sees us launch two new schemes, Health, and Industry & Infrastructure (with an AI focus) alongside Energy & Nature, Wellbeing & Sport and Frontline Services. The Role

We're looking for an exceptional EA and Logistics Lead to run the CEO's diary and own the operational backbone of PKF's scheme delivery.

It's a role for someone highly organised, calm under pressure and able to hold many moving parts at once. One day you'll be coordinating the CEO's diary around parliamentary commitments, funder meetings and scheme activity; the next, managing travel for a group of MPs or making sure a visit runs seamlessly on the ground.

What You Will Do

Executive support to the CEO

  • Manage the CEO’s diary, including meetings with MPs, Peers, partners, funders, trustees and senior stakeholders.
  • Coordinate scheduling across a fast-moving parliamentary and organisational calendar.
  • Prepare the CEO for meetings with the right briefings, papers, timings and logistics.
  • Support inbox, correspondence and follow-up where appropriate.
  • Track actions and deadlines from meetings so nothing falls through the cracks.
  • Help the CEO manage competing priorities across scheme delivery, partnerships, fundraising and organisational development.
  • Handle sensitive information with discretion and professionalism.

Logistics and operational delivery

  • Plan and manage travel and logistics for PKF scheme activity, including domestic visits, parliamentary events and overseas programmes.
  • Coordinate with partners, venues, transport providers and programme hosts for smooth delivery at every stage.
  • Support the organisation of scheme modules, receptions, graduations, MP visits and other PKF events.
  • Build and maintain logistics systems, travel protocols, checklists and contingency plans.
  • Brief participants and stakeholders on timings, travel arrangements and practical details ahead of visits.
  • Support Scheme Leads and the wider team with operational detail and on-the-ground problem solving.
  • Manage costs, suppliers and travel records in line with PKF’s financial and governance standards.
  • Anticipate risks and problems before they arise, and respond calmly when things change.

What We Are Looking For

You are:

  • Exceptionally organised, detail-oriented and proactive.
  • Experienced in diary management, executive support, logistics, operations or complex coordination.
  • Comfortable working directly with senior stakeholders, including MPs, Peers, funders and organisational leaders.
  • Calm and composed under pressure, especially when plans change quickly.
  • Able to manage competing priorities and multiple workstreams without losing sight of the detail.
  • Discreet, reliable and trusted with sensitive information.
  • Practical, solutions-focused and willing to get stuck in.
  • Motivated by PKF’s mission and excited by the opportunity to help build a growing organisation.

You don't need a background in Parliament, charity work or education. Precision, judgement and ownership matter far more.

We particularly welcome applications from people with experience in executive support, operations, logistics, events, parliamentary offices, the armed forces, humanitarian logistics, expedition operations, disaster response, high-pressure administration or other complex coordination environments.

Those later in their careers or juggling children are encouraged to apply.


Working Arrangements

This is a remote-working role with occasional visits to Parliament and other UK-based meetings and events when required. You may be able to accompany cohorts on scheme module visits, including occasional travel within the UK or internationally, but with significant notice.

We are happy to discuss flexible working arrangements and working hours.
