Overview

The Executive Assistant is the critical operational hub supporting our European CEO during a transformational period of growth and expansion. This role demands an exceptionally organised and strategically-minded professional who can manage the complexities of a fast-paced, dynamic leadership environment while maintaining the highest standards of confidentiality and discretion. This role is offered on a part-time (20 hours per week) and fixed-term contract for a period of 6 months.

As the CEO's trusted right hand, you will orchestrate all aspects of his executive schedule, communications and information flow to ensure he can dedicate maximum time to high-impact strategic initiatives, client relationships and business development. You will anticipate needs, manage competing priorities across multiple markets and serve as a key operational point of contact within the business. This is an opportunity to make a direct impact on Allison's European trajectory while working alongside a visionary leader navigating significant organisational change and growth.

Responsibilities

Executive Operations & Schedule Management

  • Own complete management of the CEO's calendar, schedule and time allocation, ensuring optimal balance between strategic priorities, client engagement, internal leadership commitments and thought leadership activities
  • Coordinate complex, multi-market scheduling across European time zones and with global stakeholders
  • Manage travel logistics, including flights, accommodation, ground transportation and itinerary coordination
  • Prepare detailed briefing materials and agendas for all CEO meetings, ensuring critical context and talking points are readily available
  • Anticipate scheduling conflicts and proactively manage competing demands to protect the CEO's time for strategic work

Information Management & Communications

  • Manage CEO's email, correspondence and communications with discretion and strategic prioritisation
  • Curate, synthesise and present critical business intelligence, market insights and stakeholder intelligence to inform decision-making
  • Maintain confidentiality of sensitive information while ensuring appropriate information flow across the business
  • Prepare executive summaries and briefing documents on key business matters, market developments and organisational updates
  • Serve as a filtering mechanism for information overload, identifying what truly requires the CEO's attention

Leadership & Stakeholder Relations Support

  • Provide operational support for leadership meetings and key stakeholder engagements
  • Coordinate CEO participation in industry events, conferences and speaking engagements across Europe
  • Maintain relationships with key external stakeholders and board members
  • Prepare materials and follow-up documentation for high-level strategic meetings

Business Operations & Analytics

  • Support CEO-level reporting and strategic analytics, tracking key performance indicators and business metrics
  • Assist with financial oversight and strategic planning initiatives
  • Coordinate special projects and strategic initiatives as directed by the CEO
  • Support the preparation of updates, relevant materials and strategic presentations

Leadership & Culture

  • Demonstrate Allison’s values and builder's mindset, serving as a cultural ambassador at executive level
  • Support the CEO in driving organisational culture, initiatives and leadership development across Europe
  • Facilitate internal communications and ensure alignment across the European Leadership Teams and broader business
  • Contribute to a culture of excellence and continuous improvement through operational best practice

Cross-Functional Collaboration

  • Partner with senior leaders across functions to coordinate and execute CEO priorities
  • Support CEO's visibility and engagement with teams across all European markets
  • Facilitate collaboration with global leadership on multi-market opportunities and strategic alignment
  • Ensure seamless operational handoffs and integration across internal teams and external partners

Qualifications

  • Demonstrated ability to support a busy, dynamic leader managing multiple priorities across geographies
  • Experience managing confidential, sensitive business information with absolute discretion
  • Background in agency, consultancy or similar fast-paced environment
  • Strategic mindset – thinks beyond calendar management to anticipate business needs and opportunities
  • Exceptional organisational skills with meticulous attention to detail
  • Strong project management capabilities, coordinating across priorities, teams and geographies
  • Excellent written and verbal communication skills, able to interact confidently with senior stakeholders
  • Ability to build strong relationships across the business and with external stakeholders
  • Discretion, professionalism and integrity in all communications
  • Comfortable operating in evolving, high-growth environments with changing priorities
  • Proactive, solution-oriented approach to problem-solving
  • Strong learning agility and ability to quickly master new processes and systems
