Executive Assistant - Fixed-Term Maternity Cover (International Charity)
Part-time, 30 hours per week | Hybrid, Central London | 4-month contract
Location Hybrid: typically 1-2 days per week in a central London office, remainder remote
Contract: 17 August 2026 - 15 December 2026; ideally starting 17/18 August for handover
Salary: c.£32,000-£35,000 FTE depending on experience, pro-rated for 30 hours and contract length

The Opportunity
Civitas Recruitment are delighted to be supporting an international non-profit delivering healthcare, education and employment support for children and families.

This is a high-trust, fast-paced Executive Assistant maternity cover role within the CEO Office. The successful candidate will keep the office organised, responsive and well-prepared, supporting the CEO with complex diary and inbox management, travel, meetings, records and financial administration.

Key Responsibilities

  • Manage the CEO's complex calendar and inbox, identifying priorities and ensuring timely follow up.
  • Coordinate domestic and international travel, detailed itineraries, meetings and logistics.
  • Record and distribute accurate, professionally formatted minutes and maintain organised records across shared files, trackers, Salesforce and CEO Office systems.
  • Manage credit card reconciliations, expense claims and reimbursement records accurately and promptly.
  • Support executive meetings, donor engagements and events, handling sensitive information with absolute confidentiality.

The Candidate
The ideal candidate will be an experienced Executive Assistant, Personal Assistant or senior administrator with experience supporting a senior executive or leadership team. You will be exceptionally organised, proactive and detail-focused, with the judgement and discretion needed to manage sensitive information.

  • Strong experience managing complex diaries, inboxes, travel and competing priorities with minimal supervision.
  • Excellent written and verbal English, including polished correspondence and document preparation.
  • Strong Google Workspace and Microsoft Office skills; Salesforce or CRM experience would be advantageous.
  • Good administrative, record-keeping and financial reconciliation skills.
  • Calm, resourceful and professional, with confidence engaging senior stakeholders.
