Job Title: EA / PA to COO

Prestigious international banking group based in Mayfair is seeking an experienced EA / PA to provide support to the bank's Chief Operating Officer with organisation, scheduling, correspondence, meetings, secretarial duties for the COO Group Committees and Sub-Committees, Audit management deadline compliance and document coordination and maintain all records, reporting and governance for the COO and his Management Team.

Your Responsibilities

  • Coordinating and preparing documentation for Committees and Sub-Committees, Board Meetings, and other meetings that the COO attends.
  • Attending governance committees, preparing the minutes and actions.
  • Collating Audit responses and coordinating field work and evidence with the auditors.
  • Collecting KRI's, KPI's and reporting metrics from the teams and inputting them into the Archer system.
  • Reviewing action points and audit findings and ensuring that these are progressing and are kept current.
  • Performing secretarial duties for COO Group Committees and Sub-Committees.
  • Coordinating meetings for the COO, Operations and IT group.
  • Aiding with the preparation of documentation for various teams, including OpRes, Business Continuity, Data, and others.
  • Maintaining the departmental shift and rota system.
  • Interacting with Group colleagues to ensure a single point of contact for key resources.

  • At the very least 2 years of previous PA/EA experience for high-level individual/s.
  • IT literate with good typing speed, have excellent MS Word, Excel, Outlook, and PowerPoint skills.
  • Experience in attending committee meetings, minute taking, preparing the minutes, and also actions.
