Executive Assistant to Managing Director

Geotek Limited | Daventry | Full-time, Permanent | 100% Office Based | Competitive Salary

This is not an Executive Assistant role where you will simply manage a diary. It is an opportunity to become part of where a business is going.

Geotek Limited is an ambitious, internationally focused business with exciting plans for growth. A world-leading designer and manufacturer of advanced scientific instruments, Geotek's technology supports critical decision-making across energy, mining, academia and government. Right now, the business is entering an incredibly exciting chapter.

With international growth, recent acquisitions, expansion of its services division and opportunities within carbon capture infrastructure all on the agenda, there is a huge amount happening, and they are looking for an exceptional Executive Assistant to work alongside the Managing Director and become a key part of that journey.

This is an opportunity for a forward-thinking individual who takes real pride in what they do. Someone who does not just wait to be asked, but thinks ahead, spots what needs doing and makes things happen.

You will be working closely with an ambitious, driven and people-focused Managing Director, within a company where people are genuinely bought into what the business is building, where it wants to go and the part they play in getting there.

The Opportunity

The Managing Director is currently leading several major strategic initiatives and working closely with a broad senior leadership team. He needs someone who can become his eyes and ears within the business, bringing organisation, structure and momentum to an incredibly varied workload.

You will take ownership of the traditional elements of executive support, but your impact will go far beyond diary and inbox management.

You will be involved in projects that are genuinely shaping the future of Geotek, including:

  • Supporting the integration of a recent acquisition, including organisational alignment and TUPE-related administration.
  • Helping coordinate the implementation of a new company-wide timesheet system.
  • Supporting managers with procedures as Geotek works towards ISO 9001 and ISO 14001 accreditation.
  • Coordinating activity around a potential office relocation or significant premises refurbishment.
  • Supporting annual strategic planning and budgeting.
  • Improving processes and finding smarter, more efficient ways of working.
  • Exploring how technology and AI can remove repetitive administration and make the business more effective.

Alongside this, you will help manage the Managing Director's diary and inbox, coordinate international travel, prepare information for monthly one-to-one meetings, track actions through to completion and help compile executive reports and board packs.

Importantly, you do not necessarily need to have Executive Assistant or Personal Assistant as your current job title.

You may already be naturally performing many of these responsibilities within an Office Manager, Business Support, Project Coordinator, Operations, Executive Support or senior administrative role and be ready to take that next step in your career.

Perhaps you are already the person senior leaders rely on to keep things moving. You coordinate projects, chase actions, organise people, improve processes and instinctively spot what needs doing next, but you have never formally had the Executive Assistant title.

Who are we looking for?

You will confidently follow up with senior stakeholders. And you will probably have spotted the potential problem and started thinking about the solution before anyone has asked you to.

You will be a natural completer-finisher who takes ownership from beginning to end.

  • Someone who enjoys improving processes rather than accepting "that is how we have always done it"

  • Happy being visible, approachable and at the heart of the business
  • Someone who takes ownership and follows things through
  • Ambitious about your own development and ready to take the next step

Experience with Zoho CRM, Power BI, systems implementation, M&A integration, TUPE processes or ISO accreditation would be advantageous, but you do not need to tick every box.
