Description

We have an exciting opportunity for an experienced Executive Assistant to join our iconic brand as EA to Twinings' Chief Executive Officer.

The purpose of the role is to provide comprehensive and proactive organisational and administrative support to the Chief Executive Officer and ensuring effective strategic delivery as a long-term collaborative partner.

This is a multi-functional and all-encompassing role. The Executive Assistant will often be required to operate independently, proactively and flexibly; supporting the CEO to plan ahead and in the delivery of their responsibilities efficiently and effectively.

We would expect the post-holder to over time learn how to plan and anticipate the office of the CEO and how to best process information. This would enable the Executive Assistant to anticipate, communicate and act on the CEO's behalf, allowing them to plan and work in partnership with their manager and communicate on their behalf and while they are in meetings or during travel.

This is a fast-paced role with never a dull moment so being able to plan and prioritise effectively is very important. It would suit someone who is a self-starter: happy to take the initiative, work under pressure and anticipate the CEO and stakeholder needs in order to over time make independent decisions when necessary.

The post-holder must be capable of critical thinking and encompass a desire to understand others across all markets and functions as well as external partners. They will document processes as they learn them for future reference, which helps them internalise the chief executive officer’s work requirements.

Planning ahead is vital - the role would therefore suit someone who values planning, reliably sets and sticks to deadlines, and can plan and organise effectively in both short and long term time-frames. The role demands that you constantly challenge the status quo to identify new ways of doing things.

With the requirement to work closely with many senior stakeholders, both internally and externally, the Executive Assistant to the CEO should present themselves professionally and be an Ambassador for TwiningsOvo. This means being aware of what’s going on across the business and industry as well as developing a strong network, both within the TwiningsOvo and ABF community.

This is a full-time role, 35 hours per week Monday to Friday. However, due to the profile of the position and the requirement to deliver on an international scale, there may be occasions when it is necessary to work outside of the core working hours to support business requirements. Therefore, the post-holder will need to be flexible and adaptable at all times. The role may require travel occasionally, within the UK and Internationally.

Key Responsibilities

Organisational

  • Effective and proactive diary and inbox management.
  • Managing the CEO's calendar – planning often a year or more in advance.
  • Arrange travel and obtain necessary visas.
  • Organise regular meetings, both UK and internationally.
  • Plan and organise larger meetings with excellent logistical attention to detail and engagement of team.
  • Organise (and sometimes attend) events – all logistical aspects from inception to execution.

Administrative

  • Data Analysis - inspecting, cleansing, formatting, transforming, and modelling data with the goal of identifying and presenting useful information and conclusions supporting decision-making.
  • Manage and screen all enquiries and meeting requests - prioritise, action or pass on.
  • Manage correspondence.
  • Produce/proof-read presentations/documents for internal and external purposes.
  • Budget approval support: Budgeting requests in partnership with Finance.
  • Budget support: set up new suppliers and Purchase Orders – receipt/process invoices.
  • Expenses.

Skills Knowledge and Expertise

  • Experience of working with C-Suite/Director level management, with an international team, and a passion for high performance organisations. Ideally the successful candidate also has a interest to learn and grow with additional work duties as required by the CEO, Associated British Foods and the Senior Leadership Team within the scope of the role.
  • The Executive Assistant will regularly be aware of and manage highly sensitive information and must be able to act with complete discretion.
  • Excellent planning and prioritisation skills.
  • Part of the role involves diary management and organising meetings on an international scale whilst an increasingly important part of the role is to co-ordinate events.
  • Microsoft office skills are vital, especially Word, Powerpoint (for creating and refining presentations) and excel (for managing budgets and timelines where necessary).
  • Thorough experience in the above key responsibilities.
