Job Title: Early Careers Administrator

Are you highly organised, people-focused, and passionate about supporting the development of future talent? We are looking for an enthusiastic Early Careers Administrator to join our team and play a key role in delivering an exceptional experience for apprentices, graduates, trainees and other early careers talent.

You will provide high-quality administrative support, coordinate a range of activities and events, and help ensure our programmes run smoothly from attraction and onboarding through to development and progression. This is an opportunity to contribute to initiatives that make a real impact on individuals starting their careers while developing your own skills in a fast-paced and friendly environment.

You'll work closely with colleagues across the business, training providers, and programme participants, helping to create a positive and inclusive experience that supports our commitment to developing the next generation of talent.

Key Responsibilities

  • Provide day-to-day administrative support for all early careers programmes
  • Maintain accurate records, tracking the progress of all learners on programme
  • Manage programme documentation, training provider contract process and programme funding requirements
  • Produce reports and ensure data accuracy and compliance
  • Manage invoice process for programme costs, arranging and tracking internal cross-charges
  • Support with the organisation of events, training workshops and programme logistics, including managing regular hotel bookings, communicating all details effectively
  • Respond proactively to changes in programme arrangements at short notice, including considering the safeguarding of young people on programme
  • Assist with administration during recruitment campaigns and whilst onboarding new early careers candidates
  • Support with sharing any programme updates, training provider feedback, or details of new initiatives
  • Coordinate pre-boarding and onboarding activities, including induction sessions
  • Prepare and distribute programme schedules and arrangements for residential training
  • Track attendance and participation in programme activities
  • Support in maintaining the apprenticeship levy spend tracker, ensuring available funds are illustrated accurately
  • Coordinate associated programme grant claims, ensuring all payments are received effectively
  • Deliver high-quality customer service by managing queries professionally via email, phone and Microsoft Teams, building positive stakeholder relationships and responding within agreed timeframes

This is a part-time position working 25 hours per week, Monday to Friday, based full-time in our Support Office at Birchwood Warrington.

  • Ability to manage multiple tasks and respond flexibly to changing priorities.
  • A proactive approach to delivering high standards of customer service.
  • Understanding of compliance requirements and the importance of accurate record-keeping.
  • Comfortable working both independently and as part of a team.
