In this role you will provide a wide range of administrative and editorial support for the HarperVoyager and HarperMagpie team. This will include a number of responsibilities, including critical path management, title support across the list, diary management and expenses, as well as regular liaison with authors, agents and other departments. The ability to manage multiple requests and good time management are essential, as is the ability to prioritise tasks, a great eye for detail and a creative outlook.

HarperVoyager is the award-winning fantasy and science fiction imprint of HarperCollins. Home to beloved authors including George R.R. Martin, Robin Hobb, Arthur C. Clarke and Ray Bradbury, as well as some of the latest stars of the genre, such as R.F. Kuang, Sarah A. Parker, Juno Dawson, Jay Kristoff, Hannah Kaner and Saara El-Arifi, the list showcases the rich history and the exciting future of SFF.

HarperMagpie is the crossover/New Adult SFF imprint of HarperFiction, dedicated to publishing the most captivating and trend-setting fantasy and romantasy books. The list includes some of the most popular authors in genre including Rebecca Ross, Kristen Ciccarelli and Julie Soto, as well as rising stars Mila Finch, Emily Cooper and Tina Mars.

  • Diary management for Publisher and Editorial Director
  • Organising and managing meetings with internal/external stakeholders
  • Organising travel schedules, expense claims, agent lunches
  • Arranging author and agent presentations and meetings, and preparing presentation documents
  • Collating weekly sales data for sharing with authors and agents
  • Liaising with freelancers, raising purchase orders and processing invoices in a timely fashion
  • Working directly with the Desk Editor and Assistant Desk Editor to ensure all titles across the list run to critical path
  • Managing meeting agendas and spreadsheets for HarperVoyager and HarperMagpie team meetings, global meetings and divisional meetings
  • Providing advance material for other departments (e.g., sales, marketing, rights)
  • Key divisional presentation co-ordination

Editorial

  • Creating Advance Information sheets, monitoring and updating them
  • Monitoring and amending metadata across the list; monitoring Amazon to ensure copy and jackets are up to date and feeding correctly
  • Proof-reading jacket copy, catalogue copy, and AIS
  • Checking covers
  • Preparing cover briefs, cover copy, launch documents and deal memos when requested
  • Sending finished copies to authors/agents
  • Co-ordinating any publication round-ups
  • With the Desk Editor’s support, managing selected titles through to publication which could include:
    • Onboarding freelancers
    • Liaising with freelancers for copy-edits and proofreads, and reviewing the same
    • Checking and collating proofs, revises, and preparing files for print
    • Preparing prelims and putting books through the production process
    • Organizing and creating back ads
    • Creating and checking e-books
    • Briefing and arranging delivery and collection of tip ins
    • Working closely with sales, marketing, production and design to ensure all material is available on critical path
  • Onboarding new agents and authors, raising new contracts, managing new contracts through the system and raising new title records when contracts are complete
  • Writing rejection letters and dealing with general enquiries
  • Logging and monitoring submissions

Skills, Knowledge & Expertise

  • Solid administrative & organisation experience or knowledge with a high level of computer literacy
  • An understanding of the production and critical path process
  • Excellent problem-solving, decision-making and prioritization skills
  • Proficiency with Microsoft Office and other apps and systems, such as Adobe Acrobat
  • Have a high level of accuracy and attention to detail, including but not limited to proofreading ability
  • Previous work experience in a publishing environment would be a bonus
  • Be a book lover and enjoy science fiction and fantasy
