Salary: £32,080 - £33,002 with progression to £34,610 per annum

The Role

Newcastle University Business School are seeking two experienced and highly motivated Education Team Leader’s to join our Education Team. These roles will be responsible for delivering an efficient support service for both staff and students by organising, managing and prioritising the workload of the Education Administrators and Assistants.

You will work with closely with the Education Management Team to build and develop a team as well as co-ordinating the School Assessment procedures and providing administrative support to various School Committees and Forums.

You will be passionate about ensuring that students and academic staff are provided with a consistently excellent level of service. You will also need to have excellent organisational skills together with experience of line managing staff.

The Role

To organise, manage and prioritise the workload of the Education Administrators and Assistants across the Education Team, ensuring the provision of an efficient support service for both staff and students in line with the Education for Life and School Building Bridges Strategies.

Key Accountabilities

  • To manage and develop a team. This will include responsibility for staff induction, training, and overall allocation and prioritisation of duties
  • Working collaboratively with the Education Management Team to build and maintain relationships
  • Responsible for managing and updating the School Education Activity Planner in liaison with appropriate academic leads and professional services colleagues in the School, Faculty and central services
  • To ensure, in conjunction with the Education Administrators, that all administrative functions relating to learning and teaching are carried out effectively and to the highest standard. This will include delegation of duties to Education Administrators and Assistants in line with agreed principles
  • To coordinate the School assessment procedures, including convening examination boards and ensuring correct set up of associated systems and databases. To ensure documentation is accurately prepared and all marks and decisions are recorded accurately. Includes liaison with colleagues to ensure all learning and teaching and student experience matters dealt with (e.g. PEC, coursework marks) have been communicated to the appropriate staff for action and recorded in the correct systems. To coordinate the School Assurance of Learning (AoL) processes, ensuring support for the AoL cycle is embedded across programmes
  • Working with the Education Manager to ensure that the academic governance structure is appropriately and effectively supported (support for BoS, Module Moderation Boards, BoE, PEC, SSCs and other appropriate committees). To ensure there is effective planning and administrative processes in place
  • To lead a team of Administrators and Assistants to ensure students receive a consistent level of service and are effectively supported throughout their programme lifecycle. Working with the Placement and Study Abroad Team to support students who participate in placement and mobility activities. Working with the School’s Student Wellbeing Advisor to support student wellbeing
  • To act as the first point of contact with Timetable Services, and oversee the timetabling process in the School, ensuring appropriate information is gathered on teaching requirements to enable a smooth and efficient timetabling process
  • To provide administrative support to various School Committees and Forums as required. To ensure that minutes are prepared, circulated and approved and that action points are followed up
  • Working with the Education Managers to ensure the School meets the policy requirements for academic governance and engagement monitoring, ensuring that accurate records are maintained
  • Conducting Conversations and Priorities of Education Administrators and Assistants as requested by the Education Manager
  • To work closely with colleagues at School, University and Faculty level to: deliver Business School strategy, ensuring alignment with the University’s strategies, policies and guidelines share best practice in a service culture; and undertake joint planning with a commitment to business improvement and change management in order to maximise impact and effectiveness
  • To carry out other duties, as defined by line manager, which support the successful achievement of the Business School vision and strategy

The Person

Knowledge, Skills and Experience

Essential

  • Experience of working/responding independently and dealing with unforeseen problems and circumstances
  • Comprehensive knowledge of the work practices, processes and procedures relevant to the role
  • Operating knowledge of service/systems/processes in own area that would be required to provide first line advice and guidance, typically of a more technical/specialised nature, to customers
  • Clear understanding of the standards and regulations set for the conduct and output for the role
  • Working knowledge of the activities of other areas of the University relevant to School/department/work unit
  • Proven written and verbal communication skills
  • Works calmly and efficiently under pressure and to tight deadlines, with excellent organisational skills
  • Has proven ability of establishing, reviewing and monitoring administrative systems in office environments
  • Has considerable recent relevant administrative experience in a supervisory role within a higher education establishment or other large organisation
  • Experience of acting as secretary in meetings, producing agendas, minutes and actions
  • Experience of line managing staff
  • Willingness and availability to work flexibly when required and agreed with line manager
