We are looking for a Project Coordinators to join the team. This is a Hybrid role with 3 days a week in our London office on Clarendon Road.

Civica Election Services delivers election, voting and governance projects for a wide range of organisations, helping citizens and members to engage, register, vote and govern democratically. In this role, you’ll support projects from planning through to delivery, working with clients and internal teams to keep activity organised, accurate and on track.

This is an entry-level opportunity for someone who wants to learn and build a career in project management or elections. You’ll begin by shadowing and supporting experienced colleagues, then take ownership of your own projects as your knowledge and confidence develop. Because each client and project is different, the role suits someone who is curious, proactive and comfortable adapting their approach rather than simply following the same process each time.

What you will do to be successful in this role

Responsibilities:

  • Coordinate and support multiple election and governance projects from initial planning through to delivery.
  • Work with clients, Project Managers and Consultants to understand requirements and translate them into clear project activity.
  • Prepare and maintain project specifications, timelines, documentation and accurate records.
  • Coordinate with internal production, design and digital teams to align schedules, resources and key milestones.
  • Attend client meetings, track actions and provide clear updates throughout the project lifecycle.
  • Carry out quality checks and help identify and resolve issues before they affect delivery.
  • Support compliance with election law and Civica procedures relating to quality, data security and business continuity.
  • Build your knowledge of election delivery and project management, progressing towards ownership of increasingly complex projects.

Required Skills and Qualities:

  • Excellent written and verbal communication skills, with the confidence to work with clients and colleagues at different levels.
  • Strong organisation and time management skills, with the ability to manage tasks or projects at different stages.
  • A proactive, self-starting approach, with the ability to use initiative, think critically and suggest practical solutions.
  • Curiosity and a willingness to learn, particularly about elections, governance, legislation and project delivery.
  • Strong attention to detail, with a commitment to keeping accurate records and producing high-quality work.
  • A collaborative and adaptable approach, with an interest in client-facing work and the confidence to respond when project requirements vary.
