CSS, Scotland's number 1 family-run fire and security systems business, has a vacancy within their expanding electrical department, which includes acquired businesses Stirling Electrical Services and Graham Robertson Electrical.
About the Role
As one of the Stirling and local areas busiest reactive and preventative electrical service companies, our office and job scheduling is fast paced and changeable as we strive to professionally and efficiently undertake electrical work in many homes and businesses.
Our vacancy would ideally suit an individual who can work under these fast paced conditions and who can adjust job schedules and liaise with our team and customers throughout the day.
Previous experience within the electrical industry or associated building trades would be beneficial. You would work alongside our existing office team and electricians at our office based in Stirling.
Applicant would require to make their own way to and from Stirling, FK7 7UW.
Role Description
The Electrical Office Administrator / Job Scheduler is a full-time, on-site role based in Stirling. This role is responsible for managing incoming customer enquiries, scheduling jobs for electricians, and coordinating daily workloads to ensure efficient use of resources. Typical duties include:
- Maintaining job records
- Updating calendars and work orders
- Preparing documentation for inspections and testing
- Handling phone calls and email communications
- Supporting office operations
- Using office equipment and software systems
- Processing invoices and reports
- Assisting with customer service queries

The successful candidate will work closely with the operations team and electricians to ensure accurate information, timely appointments, and high-quality service delivery.
Immediate Start
Immediate start is available but can also be within a certain waiting timescale.
Requirements
The successful applicant will:
- Be hard working and presentable
- Have excellent organisation and prioritisation skills with a keen attention to detail
- Have a professional telephone manner with good communication skills
- Be proficient in the use of MS Office including Word and Excel
- Have an ambition to learn new skills
We have in-house digital job scheduling software and full training will be given on these systems. Experience with Mentor Cash job system beneficial.
Duties
The successful applicant would be working under our well established office team to help with the below tasks:
- Contacting existing customers either by phone/email/post to retain good communication levels and increase customer knowledge on the products and services available
- Contacting lapsed customers to re-establish relationships
- Admin duties relating to the above & ongoing management of current customer and job database including scanning and digitising paperwork
- Working alongside existing team - job scheduling, processing paperwork, answering phone calls, contacting electricians/engineers and suppliers, assist customers with their enquiries, update changes and status of each customer job, other reasonable duties as and when required
- Using our in-house job scheduling software to invoice completed jobs and working with accounts team on various accounting duties
- Helping with other day to day tasks as and when required

Working Hours
- 8am-5pm Monday to Friday (40 hours)
- Option to join our early finish Friday scheme
Wage Rate
Wage rate would be determined on experience and would meet minimum Real Living Wage Scotland.
Pay: £28,000.00 per year

Qualifications
- Strong office administration and administrative assistance skills, with experience in organizing workloads and maintaining records
- Proficiency in using office equipment and common office software (e.g., word processing, spreadsheets, scheduling tools)
- Excellent communication and customer service skills, with the ability to handle enquiries professionally by phone and email
- Attention to detail, strong time management, and the ability to prioritize multiple tasks in a busy office environment
- Experience in job scheduling, coordination, or dispatch in a trade or service environment is highly beneficial
- Familiarity with electrical or construction sectors is an advantage, though not mandatory
- Ability to work collaboratively with field staff and management, demonstrating reliability, integrity, and problem-solving skills
- Relevant vocational or professional qualification in administration, business, or a related field preferred
