Recreation Office Administrator

The Town of Altona is seeking an organized, enthusiastic, and customer-focused individual to join our Recreation Department as a Permanent Part-Time Recreation Office Administrator.

Reporting to the Recreation Services Manager, the Recreation Office Administrator provides administrative support for the Altona Aquatic Centre while assisting with the day-to-day operations of the Recreation Department. This position plays a key role in coordinating facility bookings, recreation program registrations, customer service, scheduling, and administrative support for a wide variety of municipal recreation facilities, parks, and community events.

Key Responsibilities

  • Responsible for reconciling, preparing, depositing, and tracking all Aquatic Centre revenues, maintaining accurate financial records, and supporting related administrative and financial processes.
  • Coordinate and manage bookings for municipal recreation facilities, including arena ice, ball diamonds, campgrounds, meeting rooms, picnic shelters, community spaces, and other recreation amenities. Maintain facility booking calendars, communicate with user groups, prepare rental agreements, process payments, and ensure bookings are accurately scheduled and confirmed.
  • Register participants for recreation programs and maintain accurate registration records using the Town's recreation registration software.
  • Provide exceptional customer service in person, by telephone, email, and through electronic communications.
  • Prepare correspondence, reports, meeting minutes, and maintain organized departmental records and filing systems.
  • Assist with website and social media updates to promote recreation programs, facilities, and community events.
  • Maintain office, concession, and program supply inventories and coordinate purchasing as required.
  • Assist with the planning, promotion, and delivery of recreation programs, special events, and community initiatives.
  • Support the Recreation Services Manager with departmental projects, budgeting, reporting, and other administrative functions as required.
  • Perform other related duties as assigned.

Qualifications

The successful candidate will possess:

  • Grade 12 diploma or equivalent.
  • Post-secondary education in office administration, business administration, recreation, or a related field would be considered an asset.
  • Previous experience in office administration, customer service, municipal government, recreation, or a related field.
  • Excellent customer service, communication, and interpersonal skills.
  • Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and a high degree of accuracy.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Experience with recreation registration software and facility booking systems would be considered an asset.
  • Ability to work independently while contributing effectively as part of a collaborative team.
  • Valid Manitoba Class 5 Driver's Licence.
