Job Overview

We are looking for an enthusiastic, hardworking individual with excellent attention to detail to join the Endoscopy Administration Team at Southmead Hospital. The successful candidate will provide high-quality, comprehensive administrative support to the Clinical Endoscopist Team and the Booking and Administration Team within the Endoscopy Department.

Main duties of the job

  • Provide high-quality administrative support to the Clinical Endoscopist team.
  • Deliver an efficient and accurate typing service, ensuring clinic letters are processed and completed within appropriate timescales.
  • Provide effective administrative support to the Booking and Administration Team.
  • Coordinate and book patients for endoscopy procedures, ensuring all relevant information is accurately recorded and appointments are arranged in a timely manner.

Detailed Job Description And Main Responsibilities

  • Provide high-quality administrative support to the Clinical Endoscopist Team.
  • Recognise and respond appropriately to the needs and concerns of patients, providing a friendly, efficient and courteous service to patients, relatives and visitors, and offering advice and information where appropriate.
  • Provide an efficient and accurate typing service, ensuring clinic letters are processed and completed in a timely manner.
  • Accurately maintain and update staff personal records and relevant hospital systems.
  • Handle personal and confidential patient information with sensitivity, discretion and in accordance with relevant policies and procedures.
  • Assist with the administration and maintenance of the HR Case Management System (Caseworker).
  • Provide administrative support to colleagues across the Endoscopy Department during periods of planned annual leave and sickness absence, helping to maintain continuity of service.
  • Undertake photocopying, filing and other general administrative duties to support the Booking and Administration Team and contribute to the efficient running of the department.
  • Receive, process and distribute incoming correspondence, including electronic mail, accurately and promptly, ensuring information is passed to the appropriate teams or individuals.
  • Coordinate and book patients for endoscopy procedures, ensuring all relevant information is accurately recorded and appointments are arranged in a timely manner.
  • Develop and maintain effective working relationships with colleagues and linked professionals across the Endoscopy Department and wider organisation.
  • Undertake any other duties that may reasonably be regarded as falling within the nature, responsibilities and grade of the post, subject to appropriate training being provided. Where possible, any significant permanent changes to the duties of the post will be mutually agreed and incorporated into the job description.
