Job Description
To provide an efficient and high-quality ward-based clerical service supporting the staff responsible for inpatient care. Emphasis should be placed on confidentiality and efficiency; remaining calm, courteous, and professional at all times.
Job Details
Two part-time posts available
Post 1
- 32.5 hours per week
- Monday - Friday 9am-4pm
- 30-minute lunch
Post 2
- 24 hours per week
- Monday, Tuesday, Thursday - 8:30am - 3pm
- Friday - 10:30am-5pm
- Wednesday - Day off
- 30-minute lunch
Post holders will be required to be flexible to cover annual leave with notice.
Responsibilities
- Welcome patients & visitors into the clinical area, maintaining a courteous & professional manner at all times.
- Handle telephone calls & face-to-face enquiries from relatives, hospital staff & members of the Public in a constructive & sympathetic manner referring to the appropriate person where necessary.
- Use computer skills & other clerical activity to perform the correct procedure for admission, discharge, transfer & make arrangements for follow-up appointments in the manner laid down by the Trust.
- To be responsible for any information entered onto the computer whilst carrying out the duties required by the Trust & maintaining confidentiality.
- Report any errors, duplications, or omissions in patient information to the appropriate department & carry out the correct procedure to rectify the problem as per Trust policy.
- Ensure that patients’ medical records are available on the ward, obtaining these where necessary from other departments according to Trust policy. Ensuring notes are traced to the correct location.
- Ensure patient confidentiality/privacy is maintained at all times in accordance with Trust policy.
- Ensure all case notes are kept in good condition in accordance with trust policies, whilst notes are in the care of the ward.
- Carry out daily maintenance of the ward medical notes trolley, ensuring that notes are kept tidy at all times, & photocopy relevant Trust documentation to ensure an adequate supply is available for ward use.
