What is this role about?
This role provides critical administrative, coordination, and operational support to the engineering management team. It ensures effective communication between contractors and engineering managers, maintains organized records, manages project-related logistics, tracks action items, and helps oversee compliance through site visits and inspections. The role acts as a central point for managing engineering department needs across multiple terminals, ensuring that all projects proceed efficiently and in alignment with organizational goals.

What will YOU do?
- Coordinate and schedule meetings with contractors and engineering managers to facilitate effective communication and ensure project milestones are met
- Assist with contractor billing and invoicing processes, ensuring accuracy, compliance, and timely submission
- Document detailed notes during meetings and track follow-up actions to ensure accountability and timely completion of tasks
- Manage and prioritize requests from various terminals, ensuring the engineering team’s operational needs are addressed efficiently
- Monitor ongoing project requirements and departmental needs to support smooth and uninterrupted project execution
- Maintain consistent communication with engineering teams across all terminals to address issues and support project continuity
- Oversee the organization and maintenance of engineering department records and documentation to ensure accessibility and compliance
- Provide logistical and administrative support for pre-bid meetings, pre-construction meetings, and other key engineering activities
- Conduct site visits and inspections as needed to support project oversight and verify adherence to engineering standards and requirements
- Monitor all action items resulting from meetings and inspections, ensuring timely completion and proper documentation
