Overview
This is temporary cover / fixed-term contract role to cover maternity leave.
The role of UK Engineering Operations Coordinator is an administration position whose main role is to organise and assist the Engineers in the department to have the correct parts and information to carry out their customer visits. Second to this is dealing directly with our customers and Dealer partners from a customer support point of view. Making sure they are happy with their Humanscale products and if not to assist them with replacement parts orders or booking in our engineers to carry out any repairs.
Responsibilities
- Manage and coordinate the UK Support mailbox, ensuring all enquiries are handled efficiently and prioritised appropriately.
- Provide timely, professional, and high-quality customer service, responding to client and customer enquiries promptly.
- Generate quotations based on engineering audit reports.
- Generate quotations based on customers repair and warranty enquiries.
- Submit customer, warranty, and warehouse stock orders to the Dublin Customer Service team.
- Create and manage defect reports for quality issues relating to Humanscale products.
- Build and maintain strong working relationships with Humanscale furniture dealers, partners, and key accounts.
- Maintain the UK Support engineering repair log, ensuring daily repair jobs are accurately recorded and tracked.
- Prepare and issue weekly customer invoices for completed chargeable work, while proactively supporting initiatives to improve financial performance and reduce outstanding balances.
- Schedule and coordinate engineers’ visits, ensuring all work is planned, communicated, and executed efficiently for customers and the engineering team.
- Provide operational support to the Sales team, advising on warranty claims and engineering-related enquiries.
- Promote effective teamwork within the department, ensuring deadlines are achieved and operational processes run efficiently.
- Support projects from initiation through to completion, ensuring milestones, deadlines, and customer satisfaction objectives are consistently met.
- Attend regular operational, progress, and management meetings to provide updates and contribute to continuous improvement initiatives.
- Act as the primary point of contact for operational matters, resolving issues effectively and ensuring smooth day-to-day business operations.

- Able to manage multiple tasks and deadlines simultaneously
- Excellent prioritization and time-management skills.
- Professional and confident communication with customers, dealers, partners and key accounts.
- High attention to detail is a must
- Ability to work in a fast-paced, complex environment
- Experience of Microsoft Office including Excel and prior experience of internal order management systems is an advantage
