POST: EOTAS (Education Other Than At School) Coordinator

LOCATION: London

SALARY: £30,000 PA
HOURS: Full time, Permanent
Reports to: Service Manager
Direct Reports: EOTAS Support Workers

Since 1997 when we started as a small playgroup set up by parents dismayed at the lack of provision for their autistic children, RfA has grown into a major deliverer of services and support in London and the West Midlands with a turnover of around £2.5m per year. Our mission is to support and enable autistic people to live happy and fulfilling lives. The Role

The EOTAS Coordinator is responsible for overseeing the delivery of EOTAS provision, ensuring that children and young people receive high-quality, well-coordinated support that meets their educational, social, emotional, and wellbeing needs.

The post holder will coordinate case management across the service, line manage and support EOTAS staff, monitor service delivery, and ensure all meetings, reports, safeguarding requirements, and administrative processes are completed accurately and within required timescales. The coordinator will act as a key liaison between families, schools, local authorities, professionals, and support staff to ensure effective communication and positive outcomes for young people. They will regularly meet and report back to the Service Manager regarding progress, challenges and any support required.

Main Responsibilities

Service Coordination

  • Coordinate and oversee London EOTAS cases, ensuring support plans are implemented effectively and reviewed regularly.
  • Allocate and monitor caseloads across the team to ensure safe, effective, and equitable service delivery.
  • Ensure all educational provision, interventions, and support arrangements are appropriately planned, organised, and delivered.
  • Maintain oversight of individual learner progress, attendance, engagement, and outcomes.
  • Monitor service quality and identify areas for improvement.
  • Ensure compliance with organisational policies, procedures, and statutory requirements.

Case Management

  • Maintain oversight of all active EOTAS cases and ensure records are accurate and up to date.
  • Support children and young people directly yourself when needed
  • Track key deadlines relating to reviews, reports, meetings, assessments, and referrals.
  • Ensure support plans, risk assessments, and related documentation are completed and reviewed within agreed timescales.
  • Coordinate multi-agency involvement and ensure effective communication between all professionals involved.
  • Escalate concerns, risks, or service issues to senior management where appropriate.

Staff Management and Supervision

  • Provide day-to-day leadership, guidance, and support to EOTAS Support Workers.
  • Conduct regular supervision meetings, performance reviews, and wellbeing check-ins.
  • Monitor staff performance and provide coaching, mentoring, and development opportunities.
  • Support recruitment, induction, training, and ongoing professional development of staff.
  • Ensure staff understand and follow safeguarding, health and safety, and organisational procedures.
  • Manage staffing issues in line with organisational policies and procedures.

Meetings and Professional Liaison

  • Ensure attendance and representation at relevant meetings, including:
    • EHCP reviews
    • Multi-agency meetings
    • Team Around the Child (TAC) meetings
    • Child in Need (CIN) meetings
    • Professional network meetings
    • Placement and review meetings
  • Prepare and present reports and updates as required.
  • Develop and maintain positive working relationships with Local Authorities, schools, families, health professionals, and external agencies.
  • Act as a key point of contact for stakeholders regarding service delivery and learner progress.

Reporting and Administration

  • Ensure reports are completed to a high standard and submitted within agreed deadlines.
  • Monitor and quality assure staff record keeping and reporting.
  • Maintain accurate and confidential records in accordance with GDPR and organisational requirements.
  • Produce management information, service reports, and performance updates as required.
  • Track outcomes and provide evidence of impact and progress.

Safeguarding and Compliance

  • Promote the safety, welfare, and wellbeing of children and young people at all times.
  • Ensure safeguarding concerns are identified, recorded, and reported appropriately.
  • Monitor compliance with safeguarding, attendance, risk management, and lone working procedures.
  • Support staff in managing safeguarding concerns and liaise with designated safeguarding leads where necessary.
  • Maintain awareness of relevant legislation, guidance, and best practice.

Quality Assurance

  • Monitor service delivery against agreed standards and outcomes.
  • Conduct audits of case files, reports, and documentation.
  • Ensure continuous improvement across the service.
  • Contribute to policy development, service reviews, and organisational improvement initiatives.

Person Specification

Essential Skills

  • Relevant qualification in Education, Health and Social Care, Youth Work, Leadership, or a related field.
  • Experience working with children and young people with Autism, additional needs, SEND, SEMH and within EOTAS or an alternative provision.
  • Experience coordinating services, cases, or educational support programmes.
  • Experience supervising, mentoring, or managing staff.
  • Experience working with multi-agency professionals and external stakeholders.
  • Experience producing reports and maintaining accurate records.
  • Understanding of SEND, EHCP processes, and alternative provision.
  • Understanding of child-centred approaches and outcome-focused support.
  • Knowledge of data protection and confidentiality requirements.
  • Strong organisational and time management skills.
  • Ability to prioritise and manage multiple cases and deadlines.
  • Strong leadership and team management abilities.
  • Ability to build positive relationships with professionals, families, and young people.

Desired Skills

  • Leadership or management qualification.
  • Knowledge of Local Authority SEND processes.
  • Experience of quality assurance and service development.
  • Full UK driving licence and access to a vehicle.
