ROLE EXPECTATIONS

You will be the front-line heartbeat of the estate office, welcoming residents and visitors, handling enquiries and keeping the development’s administration running smoothly. Each day blends people-focused service with organised back-office tasks, from booking facilities to coordinating contractors and keeping records up to date.

What Success Looks Like

  • Residents receive prompt, friendly and accurate responses, with issues resolved efficiently first time.
  • Office systems, databases and records are immaculate, current and audit-ready at all times.
  • Communications are clear and proactive, ensuring residents and contractors know what to expect and when.
  • Facility bookings, keys, parcels and access requests are managed seamlessly with zero mix-ups.
  • Health, safety and compliance tasks are completed on schedule with thorough documentation.
  • You’re a trusted partner to the on-site team, anticipating needs and improving processes.

How You'll Spend Most Of Your Time

  • Greeting residents and visitors, managing the reception inbox and phone, and triaging enquiries.
  • Administering facility bookings, keys, fobs and parcel handling with accurate logs.
  • Raising and tracking work orders, coordinating contractor visits and following up to completion.
  • Maintaining resident databases, filing and document control across company systems.
  • Supporting compliance checks, site inspections and reporting with timely, tidy documentation.
  • Assisting with resident communications, notices, newsletters and event coordination.

Experience That Helps

  • Experience in residential property, building management, hospitality or concierge environments.
  • Previous administrative roles involving CRM systems, databases or shared inboxes.
  • Exposure to raising purchase orders, processing invoices or basic finance admin.
  • Familiarity with health and safety checks, incident logging or compliance documentation.
  • Experience drafting resident communications or taking concise meeting minutes.
