Estate Manager – Oxford

Life Sciences & Premium Office Portfolio

Ardan is exclusively instructed on this search for a leading commercial real estate firm, for an experienced Estate Manager to join the team across two key commercial developments in Oxford, both home to a growing community of life science occupiers alongside high-specification laboratory and premium office space. One site is due to PC later this year, so previous mobilisation experience would be a strong advantage.

Role Purpose

To manage the day-to-day operational activities of the site(s) in line with health & safety, environmental and company procedures, legislative requirements and budgetary controls, delivering against client and occupier expectations and agreed KPIs.

Key Responsibilities

Commercial

  • Prepare, control and monitor the service charge budget in line with the client's agreement and business timescales.
  • Prepare management reports as required by the business.

  • Take responsibility for all health & safety compliance, including regular audits, fire evacuations, and keeping emergency plans and site records up to date.
  • Proactively manage risk and insurance compliance with public and statutory bodies.
  • Ensure a Crisis Management plan is in place, reviewed and tested annually.
  • Support the compilation of external contracts alongside the Senior Facilities Manager and Procurement team, in line with company policy.
  • Maintain accurate management information, including asset registers, emergency plans and plant testing records.
  • Liaise with local authorities as required.

Customer Service & Quality

  • Maintain the internal and external fabric of the building to a high standard, delivering the agreed planned maintenance programme.
  • Monitor FM works on site, liaising with service providers and contractors.
  • Build and maintain excellent occupier relationships, attending tenant meetings and ensuring the highest standards of service.
  • Oversee and review contractor performance against contractual standards.

People Management

  • Provide direct line management to on-site employees, ensuring appropriate training.
  • Conduct regular performance reviews, including annual appraisals and SMART objective-setting.

About you

  • Previous facilities management experience across a property or portfolio, ideally with experience with life science, but not essential
  • Mobilisation experience advantageous.
  • Good technical understanding of premises management.
  • Excellent customer service, interpersonal and communication skills.
  • Strong knowledge of health & safety legislation and environmental protection requirements.
  • IT literate, with experience of industry-specific systems.
  • Ability to work independently and under pressure.
  • IOSH qualification required; IWFM qualification desirable.
