Estates Maintenance Manager (Fixed-Term Contract)

Location

Edinburgh

Essential

Knowledge & Qualifications

  • Building Services Engineering, Facilities Management, Estates Management, Construction, Mechanical or Electrical Engineering.
  • IOSH Managing Safely or equivalent Health & Safety qualification.
  • Good working knowledge of current health and safety legislation, statutory compliance and maintenance best practice.
  • Understanding of planned preventative maintenance (PPM), lifecycle planning and asset management principles.

Experience

Essential

  • Proven experience managing planned and reactive maintenance across a diverse estate.
  • Experience coordinating maintenance programmes across mechanical, electrical and building fabric assets.
  • Experience managing contractors and suppliers, including monitoring performance against KPIs and service level agreements.
  • Experience overseeing statutory inspections and ensuring compliance with relevant legislation.
  • Experience using CAFM/helpdesk systems to manage maintenance requests and monitor performance.
  • Experience managing maintenance budgets, reviewing quotations and ensuring value for money.
  • Experience working collaboratively with internal stakeholders and external contractors to deliver high-quality customer-focused services.

Desirable

  • Experience within a multi-site estate.
  • Experience contributing to capital works and refurbishment projects.
  • Experience supporting sustainability initiatives including energy monitoring, sub-metering and carbon reduction projects.
  • Experience participating in emergency response or on-call arrangements.

Key Responsibilities

  • Coordinate the delivery of planned preventative maintenance (PPM), reactive maintenance and lifecycle replacement programmes across electrical, mechanical and building assets.
  • Manage the maintenance helpdesk and ensure maintenance requests are responded to efficiently.
  • Conduct regular inspections of buildings, infrastructure and equipment, identifying defects and coordinating remedial works.
  • Manage contractors and suppliers to ensure work is completed safely, on time, within budget and to agreed quality standards.
  • Coordinate statutory inspections and ensure assets remain compliant with legislative requirements.
  • Maintain and develop the estate asset register, supporting effective asset management and long-term investment planning.
  • Monitor maintenance performance, compliance and contractor KPIs, identifying opportunities for continuous improvement.
  • Work collaboratively with colleagues and stakeholders to deliver safe, sustainable and well-maintained environments that protect organisational assets and provide excellent customer service.
