We are seeking an experienced, proactive, and highly organised Estates Manager to oversee the maintenance, safety, compliance, and effective management of our care home buildings, facilities, and associated infrastructure.
This is a key role within our organisation, ensuring that our care homes provide safe, comfortable, well-maintained, and compliant environments for residents, staff, visitors, and contractors.
The successful candidate will have a strong background in estates or facilities management, ideally within healthcare, residential care, social care, or another regulated environment. You will be responsible for overseeing planned preventative maintenance, statutory inspections, contractor performance, building compliance, and capital improvement projects across our estate.
Working closely with senior leadership, registered managers, maintenance teams, and external contractors, you will ensure that our buildings remain fit for purpose, operationally efficient, and compliant with applicable legislation and regulatory requirements.
We are looking for a hands-on and commercially aware professional who can balance operational priorities, manage risk, control costs, and drive continuous improvement across our care home portfolio.
Key Responsibilities
Estates and Facilities Management
- Oversee the day-to-day management, maintenance, and upkeep of buildings, grounds, plant, equipment, and associated facilities across our care homes.
- Develop and implement an effective planned preventative maintenance programme to maintain buildings and equipment in a safe, reliable, and operational condition.
- Ensure maintenance requests, repairs, and remedial works are prioritised according to risk, urgency, resident safety, and operational requirements.
- Conduct regular property inspections and estates audits to identify defects, maintenance requirements, and opportunities for improvement.
- Coordinate reactive maintenance and emergency repairs, minimising disruption to residents and ensuring continuity of care.
- Maintain accurate records of property assets, maintenance schedules, inspections, servicing, repairs, and completed works.
- Identify opportunities to improve building functionality, accessibility, energy efficiency, and the overall environment for residents and staff.
Statutory Compliance, Health and Safety
- Ensure the organisation maintains appropriate oversight of statutory inspections, servicing, testing, and maintenance requirements across its properties.
- Monitor compliance relating to fire safety, electrical safety, gas safety, water hygiene and Legionella control, asbestos management, lifting equipment, and other applicable building safety requirements.
- Work with competent specialists and responsible persons to ensure fire risk assessments, remedial actions, fire alarm servicing, emergency lighting, and fire safety arrangements are appropriately managed.
- Ensure that risk assessments, method statements, permits to work, and contractor safety documentation are reviewed where required.
- Maintain a central compliance register and monitor inspection dates, certificates, outstanding actions, and renewal deadlines.
- Support care home managers in preparing for regulatory inspections and provide evidence of estates-related compliance when required.
- Escalate significant safety concerns, building defects, and compliance risks promptly, ensuring that appropriate interim controls and corrective actions are implemented.
- Support compliance with relevant health and safety legislation, building regulations, fire safety requirements, and applicable CQC standards relating to safe premises and equipment.

Contractor and Supplier Management
- Appoint, coordinate, and manage approved contractors, maintenance providers, and specialist service suppliers.
- Ensure contractors have appropriate qualifications, competence, insurance, and health and safety documentation for the work undertaken.
- Monitor contractor performance, workmanship, response times, service quality, and compliance with agreed service levels.
- Obtain and assess quotations, negotiate costs, and ensure value for money while maintaining appropriate quality and safety standards.
- Manage service contracts for building maintenance, fire systems, utilities, lifts, heating and ventilation, water hygiene, and other essential facilities.
- Develop effective working relationships with suppliers and ensure defects and remedial actions are resolved within agreed timescales.
Capital Projects and Property Improvements
- Plan and oversee refurbishment programmes, building improvements, replacement works, and capital expenditure projects across the estate.
- Prepare project specifications, budgets, schedules, and procurement plans in collaboration with senior management.
- Monitor project delivery against agreed costs, timescales, quality standards, and safety requirements.
- Coordinate contractors and stakeholders to minimise disruption to residents, staff, and care delivery.
- Ensure appropriate approvals, building control requirements, documentation, and handover procedures are completed for relevant projects.
- Identify opportunities to improve the suitability, accessibility, resilience, and long-term condition of the estate.
Budget Management and Asset Planning
- Develop and manage estates and maintenance budgets, monitoring expenditure and identifying opportunities for cost savings.
- Prepare annual maintenance plans and contribute to longer-term capital investment and asset replacement strategies.
- Monitor energy consumption, utilities, and facilities-related costs, identifying opportunities to improve efficiency and reduce environmental impact.
- Maintain an accurate asset register and assess the condition, lifecycle, and replacement requirements of key building systems and equipment.
- Provide regular reports to senior leadership on expenditure, compliance, maintenance performance, outstanding risks, and planned projects.
Leadership and Stakeholder Management
- Provide leadership, direction, and support to maintenance personnel and relevant facilities teams.
- Work collaboratively with registered managers and operational leaders to understand service requirements and coordinate maintenance activities.
- Provide practical guidance on estates-related risks, building compliance, contractor management, and property maintenance.
- Promote a proactive culture of safety, accountability, preventative maintenance, and continuous improvement.
- Ensure maintenance works are planned and delivered with appropriate consideration for residents' dignity, privacy, accessibility, and wellbeing.
- Respond effectively to urgent estates issues, ensuring clear communication and appropriate escalation.
Skills, Knowledge and Experience
The successful candidate will ideally demonstrate:
- Significant experience in estates management, facilities management, property maintenance, or building services.
- Experience managing buildings across multiple sites, preferably within healthcare, care homes, social care, or another regulated environment.
- Strong knowledge of planned preventative maintenance, reactive repairs, asset management, and building compliance.
- A sound understanding of fire safety, health and safety, water hygiene, asbestos management, electrical safety, gas safety, and contractor control.
- Experience managing external contractors, service contracts, procurement, and supplier performance.
- Proven ability to manage maintenance budgets, control expenditure, and deliver value for money.
- Experience overseeing refurbishment projects, building improvements, and capital works.
- Strong organisational and analytical skills, with the ability to prioritise competing demands and manage multiple projects.
- Excellent communication and stakeholder management skills, with the confidence to work with senior leaders, registered managers, contractors, and external professionals.
- A practical, solution-focused approach with a strong commitment to safety, compliance, quality, and operational efficiency.
- The ability to travel between care home locations as required.

Qualifications
- A relevant qualification in estates management, facilities management, building services, construction, engineering, or a related discipline is desirable.
- Membership of a relevant professional body, such as the Institute of Workplace and Facilities Management (IWFM), would be advantageous.
- Relevant health and safety training or qualifications, such as IOSH or NEBOSH, would be beneficial.
- Evidence of continuing professional development in building compliance, facilities management, or health and safety is desirable.
- Candidates should have demonstrable experience appropriate to the responsibilities of the role. Specialist statutory compliance activities must be undertaken or supervised by appropriately competent and qualified personnel.

- Quality of estates reporting, asset records, and compliance documentation.
- Delivery of refurbishment and improvement projects within agreed budgets and timescales.
