Event Coordinator

12-Month Contract

London Based with UK & International Travel

£210.00 p/d PAYE

We are recruiting for an experienced and highly organised Event Coordinator to join a global leadership and learning team within a Tier 1 international banking organisation. Supporting the delivery of a large-scale global leadership programme, this role offers the opportunity to coordinate high-profile events attended by senior stakeholders across multiple regions. This is an exciting opportunity for an experienced events professional to join a fast-paced, global environment and play a key role in delivering exceptional leadership events across the UK and internationally.

The Role

You will be responsible for ensuring every aspect of an event runs smoothly, from attendee registration and travel arrangements through to venue readiness, technology setup and onsite coordination.

Key Responsibilities

  • Coordinate event logistics from planning through to delivery.
  • Manage delegate registration processes and maintain accurate participant records.
  • Prepare attendee materials, badges, agendas and event documentation.
  • Liaise with venues, suppliers, transport providers and catering teams.
  • Coordinate accommodation, travel and transfers for attendees and facilitators.
  • Support meeting room setup, event technology and digital registration tools.
  • Work closely with facilitators, speakers, hosts and senior stakeholders.
  • Manage breakout sessions and ensure agendas run to schedule.
  • Maintain event plans, action trackers and administrative records.
  • Provide onsite support before, during and after events.
  • Anticipate potential issues and proactively implement solutions.
  • Support additional events and wider programme activities as required.

Travel & Working Arrangements

  • London-based role with a hybrid working model.
  • Regular travel to Birmingham for event delivery.
  • International travel may be required, including locations such as New York and Poland.
  • Event days may require early starts and longer working hours, typically between 7:00am and 9:00pm depending on event schedules.
  • Flexibility is essential due to changing event demands and global programme requirements.

Skills & Experience Required

  • Significant experience in event coordination and onsite event delivery, ideally around 10 years.
  • Experience working within a corporate environment; Financial Services experience would be advantageous.
  • Excellent organisational skills and exceptional attention to detail.
  • Strong stakeholder management and communication skills.
  • Comfortable supporting senior leaders, including Managing Director level stakeholders and above.
  • Experience coordinating travel, venues, suppliers, catering and event logistics.
  • Confident using Microsoft 365 and event technology platforms.
  • Able to manage multiple priorities in a fast-paced environment.
  • Strong problem-solving skills with a proactive approach.
  • Comfortable working independently and taking ownership of activities.
  • Quick to learn new processes and adapt to changing priorities.
  • Willing and able to travel regularly within the UK and internationally.
