Event Coordinator & Personal Assistant at Spirit Now London
Role Description
30%: Personal & Executive Assistance
Provide personal and executive support to the founder, including:
- Travel arrangements and itinerary coordination
- Administrative organisation and follow-up
- Research and preparation of information
- Calendar and appointment management
- Support with day-to-day priorities and ad hoc requests
70%: Spirit Now London | Events, Projects & Operations
Take ownership of the planning, coordination, and execution of events and projects from concept to completion
- Coordinate relationships with artists, galleries, institutions, venues, suppliers, clients, and other stakeholders
- Manage multiple projects simultaneously, ensuring timelines, priorities, and deliverables are effectively managed
- Act as a key point of contact for external partners and stakeholders, representing Spirit Now London professionally
- Support the development and growth of Spirit Now’s London activities and network
- Manage social media channels, including content creation, scheduling, engagement, and audience development
- Coordinate event logistics and suppliers, ensuring projects are delivered smoothly and to a high standard
- Proactively identify and resolve operational issues and take initiative within areas of responsibility

Requirements
- Experience in event planning, project coordination, art and cultural management: minimum 3 years
- Experience in social media management, including content creation, scheduling, and engagement: essential
- Demonstrated ability to manage projects independently and take ownership of outcomes
- Strong organisational, multitasking, and problem-solving skills
- Excellent communication and stakeholder-management abilities
- Fluency in French; additional European languages will be considered a plus
- MA in Art Business, Art Administration, Cultural Management, or a related field
- Ability to work independently in a dynamic, international, and entrepreneurial environment
