Role Description

As our Events Delivery Executive you will play a crucial role in ensuring the successful delivery of our clients’ events.

Your responsibilities will include managing sponsor and exhibitor commitments, coordinating event logistics, and ensuring all contracted services are delivered to the highest standard. Acting as the central point of contact between our sales team, clients, and event partners, you will use your organisational and communication skills to deliver seamless events that exceed expectations. This role is vital in creating a professional and positive experience for all stakeholders involved.

Key Responsibilities

Organisation and Operations

  • Oversee the day-to-day organisation and operational aspects of sponsors, exhibitors, and workshops, ensuring all commitments are fulfilled.
  • Ensure sponsors and exhibitors receive the services they have paid for, including logo displays, stand headers, and any other contracted elements.
  • Support sponsors and exhibitors in using the event portal, ensuring all required information is uploaded accurately and on time.
  • Develop and provide clear training materials to assist sponsors and exhibitors with the portal.
  • Manage and resolve queries from sponsors and exhibitors regarding the portal or their deliverables.
  • Take ownership of the contracts process, ensuring all agreements are accurately documented and followed.
  • Maintain and update internal sales sheets, ensuring data is accurate and up to date.
  • Liaise with venues and stand builders to ensure all logistical requirements are met.
  • Provide regular updates to the Account Director and clients on sales progress and deliverables.
  • Attend events as required to oversee the delivery of sponsor and exhibitor commitments.

Marketing

  • Assist with lead generation to support event attendance and sponsorship/exhibitor sales.
  • Manage updates to LinkedIn pages and website content related to events.
  • Coordinate and distribute email campaigns to facilitate sales efforts.
  • Work closely with the clients' marketing team to ensure consistency and alignment in messaging and branding.

Tools and Systems

  • Utilise CRM systems to manage sponsor and exhibitor data, ensuring all interactions and updates are accurately recorded.
  • Maintain detailed and organised spreadsheets to track event deliverables, sales progress, and client requirements.
  • Use lead generation tools and techniques to identify potential sponsors, exhibitors, and delegates.
  • Ensure efficient use of shared project management tools to streamline communication and task tracking.
  • Monitor and analyse data from CRM and lead generation platforms to identify trends and opportunities for improvement.
  • Provide feedback on the effectiveness of tools and systems and suggest enhancements to improve efficiency.

Requirements

  • Experience in event coordination or event operations, including managing schedules, logistics, and stakeholder communications.
  • Strong organizational and time-management skills, with the ability to handle multiple events or projects concurrently in a remote setting.
  • Proficiency with common virtual event platforms, office productivity tools, and basic CRM or project management systems.
  • Excellent written and verbal communication skills, including confident and professional interaction with clients, sponsors, speakers, and attendees.
  • Attention to detail and problem-solving skills, with a focus on delivering accurate, timely, and high-quality event experiences.
  • Ability to work independently, meet deadlines, and collaborate effectively with distributed teams across different time zones.
  • Prior experience working with membership organizations, associations, or non-profits is advantageous.
  • Relevant education or training in events management, marketing, communications, or a related field is beneficial but not mandatory.
