This position is part of the Sales & Events team who are responsible for reactive group sales attached or not to events and weddings. By application of strong organisational, communication, and interpersonal skills, this position is responsible for preparing all event documentation and coordinating with hotel departments and customers to ensure consistent, high-level service throughout pre-, during, and post-event phases of all events, administration of contracts, and inputting group bookings/rooming lists into the Opera booking system.

Responsibilities

  • Make pre and post-event calls to organizers to maintain relationships and gain future business.
  • Effectively manage customer budgets to maximize revenue and meet customer needs to expand the customer base for group/catering sales opportunities.
  • Liaise with the Revenue team to ensure that the rooms strategy is implemented appropriately.
  • Understand the product offered, including event space, room types/layouts, capacities, and event/restaurant menus.
  • Conduct site visits, including walk-in appointments and participate in FAM Trips in a professional manner, demonstrating a full knowledge of the hotel products and services, and tailoring the benefits to meet the guests’ needs.
  • Ensure that all diary entries are up to date with booking status, date booking taken, client details, and telephone contact details and activities up to date.
  • Ensure forecasted event & group revenue is up to date at all times.
  • Build group bookings in all systems involved and book individual reservations related to events, to ensure that routings and billing instructions are correct.
  • Work every other Saturday and occasional evenings.

Requirements

Experience:

  • Previous experience within the Hotel Industry preferred – Experience in Weddings & Events, Opera booking system, Sales Force, and specifically in dealing with groups/catering and delegations are highly desirable.

Skills and Knowledge:

  • Goal driven: Commitment towards achieving hotel’s and team goals.
  • Ability to adapt - Maintains performance level under pressure or when experiencing changes or challenges in the workplace.
  • Passion for Sales and understanding of processes; can effectively upsell products and services; can bring a sale to closure.
  • Strong communication skills (verbal, listening, writing).
  • Confident, positive, and proactive attitude and mindset.
  • Able to work alone and within a team.
  • Excellent telephone etiquette.
  • Strong customer development and relationship management skills.
  • Effective decision-making skills.
  • Good time management.
  • Strong organizational skills.

Education or Certification:

  • A strong level of English, both written and verbal, is essential for this role.
  • High school diploma or GED; experienced (1 - 2 years of experience) in the Reservations/Event Booking Center or related professional area.
