About the role
Reporting to the Associate Director, Event Management, Congress & Convening, you’ll manage the planning, coordination and operational delivery of global events - from event project planning and management through to on-site coordination and post-event evaluation.
You’ll work across international teams and with global partners to ensure every event is delivered seamlessly, professionally, and to the highest standard.
Key Responsibilities
Event project management and cross-teams coordination
- Manage the planning and delivery of the Council’s global events, including the World Energy Congress, ensuring clear timelines, milestones, dependencies, ownership, and decision points are in place.
- Act as a central project coordination point, working closely with all teams involved to ensure alignment across workstreams and timely delivery of actions.
- Develop, maintain, and regularly update the event project plan, ensuring actions, risks, issues, and dependencies are tracked and escalated as needed.
- Coordinate cross-functional project meetings, prepare agendas and status updates, capture decisions and actions, and proactively follow up with internal and external stakeholders to ensure progress remains on track.
- Collaborate with cross-functional internal teams (e.g., programme, sales, communications, membership and partnerships) to ensure alignment on operational requirements.
- Liaise with external stakeholders, including partners, venues, suppliers, and contractors to ensure high-quality, timely, and efficient delivery.
- Manage post-event operational close-out, including evaluations, feedback, lessons learned and supplier debriefs, identifying opportunities to improve future event delivery.
- Provide insights for continuous improvement of future events.
- Operate effectively within a culturally diverse and international environment, demonstrating sensitivity to cultural nuances and global stakeholder dynamics.
Logistics, operations and production
- Identify, evaluate and recommend appropriate event delivery partners and suppliers, including venues, production and AV companies, registration providers, caterers, security providers and other specialist suppliers, in line with event requirements, procurement processes and budgets.
- Develop supplier briefs, scopes of work and RFP/tender documentation, support competitive procurement processes, evaluate proposals and contribute to supplier selection and appointment.
- Manage appointed suppliers throughout the event lifecycle, ensuring clear deliverables, timelines, service levels and responsibilities, and monitoring performance against agreed contractual requirements and budgets.
- Coordinate event logistics and operations, including venues, audiovisual services, technology, staging, production, catering, destination management, registration, attendee management, safety and security, and other key functional areas, ensuring delivery within agreed budget, staffing, and time parameters.
- Develop and maintain operational risk assessments and contingency plans, working with venues, suppliers and internal teams to ensure appropriate health, safety, security and emergency procedures are in place.
- Ensure that the event delivery meets the Council’s quality standards and reflects its values of sustainability, diversity, and openness, while aligning with the Council’s vision, mission, branding, and event theme.
- Implement the experience design plan, providing technical and creative input on room layouts, formats, staging, scenic design, signage, and overall production planning in alignment with the event’s objectives, vision, and theme.
- Support venue sourcing and selection and undertake site inspections, assessing venues against operational, production, accessibility, sustainability, security and attendee experience requirements.
- Review floor plans, CAD drawings, and venue layouts to ensure operational feasibility and successful delivery.
- Support the preparation of running orders and show flows, including opening and closing ceremonies.
- Manage and coordinate all production elements to ensure smooth and effective event delivery.
- Manage on-site teams, providing function sheets, run sheets, and other planning documentation.
- Collaborate with internal stakeholders and event staff to provide effective on-site support and coordination.
- Monitor and resolve operational challenges in real time during events.

Event technology and best practices
- Ensure the integration of new technologies and best practices in quality, diversity, inclusion and sustainability throughout the planning and delivery of the Council’s events.
- Identify and implement technology solutions to improve operational efficiency and enhance attendee experience.
- Manage the event technology ecosystem, including registration platform, event management/project management platform, and engagement apps.

Experience & expertise
- Proven experience in planning, management and delivery of large-scale events, with the ability to translate event concepts and strategies into well-executed operational plans.
- Strong operational planning and event management skills
- Experience coordinating suppliers and service providers, ensuring quality standards, timelines, and operational requirements are met.
- Interest in event technologies, AI, and digital tools that enhance attendee experience and operational efficiency.
Skills
- Excellent written and verbal communication skills, with the ability to work effectively with internal teams, partners, and suppliers in an international environment.
- Highly organised and detail-oriented, ensuring all operational aspects of an event are planned and executed to a high standard.
- Ability to problem-solve under pressure and adapt quickly.

About You
- Minimum 4+ years’ experience in event management with a proven track record of delivering successful large-scale events.
- Degree in events, marketing, tourism, or related field.
- Certifications: Event management certifications are preferred (e.g., CMP, CSEP, or similar).
- Languages: Proficiency in English is required; knowledge of additional languages is an advantage.
- Travel: Willingness and ability to travel as required for event preparation and on-site delivery.
