POSITION SUMMARY

The Event Manager / Senior Event Manager is responsible for the end-to-end operational delivery of a wide range of events, from initial planning and budgeting through onsite delivery and financial close. Working closely with clients, internal colleagues, external agencies, venues, and suppliers, this position ensures each project is delivered smoothly, profitably, and to a high standard.

This role combines hands-on project management with proactive client service and commercial awareness. The Event Manager / Senior Event Manager builds trusted client relationships, provides informed recommendations, maintains clear communication, and keeps projects aligned with agreed objectives, budgets, contractual requirements, and timelines.

We are recruiting at both Event Manager and Senior Event Manager level. The appropriate level will be considered based on the successful candidate’s experience and capability.

KEY ACCOUNTABILITIES

Event Planning and Delivery

  • Manage assigned events from brief and initial planning through onsite delivery, post-event evaluation, and project close.
  • Clarify event objectives and develop realistic action plans, timelines, and milestones.
  • Coordinate venue sourcing, site inspections, supplier activity, online registration tools, and event logistics.
  • Provide excellent onsite service, anticipate issues, and respond effectively to changing client or event needs.
  • Manage venue health and safety documentation and escalate concerns appropriately.

Client Relationships and Communication

  • Build and maintain strong client relationships and serve as a trusted point of contact throughout the project lifecycle.
  • Provide proactive updates, advice, and recommendations while working within client policies, procedures, and timelines.
  • Maintain timely, clear, and effective project communications.
  • Gather post-event feedback, address concerns promptly, and identify potential opportunities for future work.

Financial and Commercial Management

  • Maintain accurate event budgets and provide regular financial updates to clients.
  • Negotiate with venues and suppliers to deliver cost savings and added value.
  • Manage purchase orders, invoicing, supplier payments, and the overall financial position of assigned projects.
  • Monitor cash flow, profitability, and contractual deadlines, including supplier deposits and cancellation dates.
  • Maintain financial clarity and transparency from initial budget through project closure.

Project and Team Coordination

  • Coordinate colleagues, suppliers, and external partners, ensuring roles, responsibilities, and deadlines are understood.
  • Work effectively with other agencies and project teams to keep client objectives and the wider purpose of the event in view.
  • Support and guide team members working on assigned projects so they understand and are prepared to deliver their responsibilities.
  • Contribute to continuous improvement by sharing knowledge, lessons learned, and recommended changes to working practices.

POSITION REQUIREMENTS

  • Previous experience working in an Event Manager role is required.
  • Event Manager candidates will typically have 2+ years of relevant experience, while Senior Event Manager candidates will typically have 3+ years of relevant experience.
  • Experience working within an agency environment is preferred.
  • Congress experience and experience supporting pharmaceutical or healthcare clients and events are preferred.
  • Strong organizational and project management skills, with the ability to manage multiple projects, priorities, and deadlines.
  • Experience building client relationships and communicating confidently with internal and external stakeholders.
  • Commercial awareness and experience managing event budgets, supplier costs, and project financials.
  • Experience negotiating with venues or suppliers to achieve value for clients and the business.
  • A proactive approach, sound judgement, and the ability to anticipate and resolve issues.
  • Experience working collaboratively across internal teams, external agencies, and suppliers.
  • Experience with event technology platforms and event applications is advantageous.
  • Additional language skills, industry awards, or event-specific accreditations are a plus.
  • Ability to travel and work away from home approximately 30 to 60 days per year in the UK and overseas.
