Swaffham Town Council is looking for an enthusiastic and community-minded Events Officer to join our team and help plan, coordinate and deliver an exciting programme of events for our town.

This is a varied and rewarding role, with responsibility for helping to deliver a range of community, seasonal, civic and town events throughout the year.

About the Role

As Events Officer, you will take a lead role in the practical planning and delivery of the Council's events programme. You will work closely with our Community Engagement Officer, Town Clerk, councillors, community groups, volunteers, businesses, contractors and other partners to ensure our events are safe, well organised and enjoyable for everyone.

You will be involved in events from the initial planning stages through to delivery and evaluation. This will include coordinating suppliers and contractors, arranging equipment and entertainment, assisting with event publicity, preparing event documentation, supporting volunteers and being present on the day to ensure events run smoothly.

You will need to be comfortable working in a busy environment, managing competing priorities and dealing confidently with people from a wide range of backgrounds.

Working Hours

The post is for 24 hours per week, worked flexibly across seven days, to reflect the Council's programme of events and activities.

The following hours are fixed:

  • Thursday – 8am to 4pm (8 hours)
  • Friday – 8am to 1pm (5 hours)

The remaining 11 hours per week are negotiable and will be agreed in advance to meet the needs of the role and the Council's events programme.

This flexibility is important as some events may take place during evenings, weekends and bank holidays. The successful candidate will therefore need to be willing to adjust their working pattern when required to support the successful delivery of Council events.

About You

We are looking for someone who is:

  • Highly organised and able to manage several activities at the same time.
  • Confident communicating with members of the public, community groups, businesses, contractors and suppliers.
  • Practical, proactive and able to use their own initiative.
  • Friendly, approachable and passionate about supporting the local community.
  • Able to work independently while also being an effective team member.
  • Comfortable dealing with unexpected situations and solving problems.
  • Flexible and willing to work outside normal office hours when events require it.
  • Able to plan projects from the initial idea through to successful delivery.
  • Confident using IT and social media to support event promotion.

Previous experience of organising events, community activities or projects would be an advantage. A formal events qualification is not essential; we are particularly interested in candidates who can demonstrate good organisational skills, practical experience and enthusiasm for working with the community.
